Position Overview:
The Administrative Operations Coordinator plays a critical role in supporting ESC's recruiting team and internal staff through daily administrative and operations functions. This individual will help ensure efficient candidate processing, job posting coordination, onboarding support, and compliance tracking for our $10M staffing operation with 200+ active contract employees.
The ideal candidate has recent and relevant administrative experience in the staffing industry and thrives in a fast-paced, detail-oriented environment.
This individual will leverage a variety of recruitment technologies, from applicant tracking systems to vendor management tools and job boards. A strong aptitude for learning and adapting to new platforms is essential for success in this role.
Key Responsibilities:
- Oversee all administrative operations for the recruitment function.
- Post and manage job listings across 5+ job boards, updating hundreds of postings weekly.
- Collaborate with Account Managers on job posting strategy (placement, language, timing).
- Coordinate candidate submittals and interviews for both VMS and non-VMS programs.
- Prepare written interview preparatory information for candidates - requires writing skills.
- Track internal recruitment metrics and share actionable insights with leadership.
- Administer background checks and drug screenings.
- Assist with onboarding and new hire orientation.
- Generate reports on recruitment metrics using the ATS and manual tracking tools.
- Manage filing of confidential employment documents.
- Manage office supply inventory (beverages, snacks, supplies, etc.) and workspace organization - Free beverages and snacks.
- Support general office upkeep/cleanliness and handle special projects as assigned.
- Meet with candidates to complete hiring paperwork and verify documentation.
- Handle unemployment forms and employment verifications.
Qualifications:
- Bachelor's Degree preferred
- 2+ years of experience in staffing/recruitment industry.
- 2+ years of experience managing administrative tasks in a fast-paced office environment.
- Advanced proficiency in Microsoft Office Suite and confident with cloud-based tools, dashboards, metrics reporting, and creating presentations.
- Comfortable learning new software and tools quickly; adaptable to evolving systems and processes.
- Proven ability to navigate and manage multiple technology platforms, including ATS, job boards, VMS tools, and internal databases.
- Hands-on experience with platforms such as Beeline, Fieldglass, VNDLY, Workday, Indeed, LinkedIn, and other staffing-related technologies.
- Strong organizational skills with high attention to detail and the ability to multitask effectively.
- Excellent interpersonal and written/verbal communication skills.
- Ability to work onsite at ESC's Brookfield, WI office.
