Job Summary
POSITION OVERVIEW : The Administrative Operations Assistant II provides intermediate-level support in administrative and operational functions within a County department. Working under general supervision, this position performs a variety of administrative tasks that require sound judgment, accuracy, and a working knowledge of departmental policies, procedures, and applicable regulations. Responsibilities may include preparing and reviewing documents, maintaining and organizing records, coordinating schedules or meetings, and assisting with basic reporting or budget tracking. The role may involve regular handling of confidential information related to personnel matters, departmental expenditures, or internal operations.
Essential Job Functions
KEY RESPONSIBILITIES :
Administrative Support & Coordination:
• Provide administrative support in areas such as purchasing, budgeting, invoice processing, and financial reporting.
• Create, update, and maintain spreadsheets, databases, and reports to support departmental operations.
• Coordinate office operations, communications, and general workflow processes. Program & Operational Support:
• Assist in the coordination and documentation of departmental programs and operational activities.
• Support logistical tasks related to facilities, supply tracking, service requests, and program continuity. Financial Monitoring & Reporting:
• Track departmental expenditures, purchases, and inventory; reconcile records and ensure compliance with purchasing procedures.
• Assist in preparing fiscal, operational, and statistical reports, including complex spreadsheets and financial analyses.
• Support budgeting efforts and help maintain financial documentation with accuracy and confidentiality. Compliance & Risk Management :
• Uphold internal controls to help prevent fraud, waste, and abuse across operational areas.
• Support compliance with safety protocols, workers' compensation requirements, and return-to-duty processes.
• Maintain accurate records in accordance with County policies and applicable regulations. Staff Support & Development:
• Collaborate with internal teams to ensure consistency in administrative practices and information sharing.
• Assist with onboarding, procedural training, and support for department-specific systems or tools.
• Participate in and support staff training initiatives aimed at improving operational efficiency and adapting to new processes. Supervision & Guidance:
• Provide guidance and oversight to entry-level staff; review work for accuracy, completeness, and adherence to procedures.
• Contribute to the development and implementation of training programs to build team capacity. Problem Solving & Issue Resolution:
• Research complex operational issues and prepare reports with findings and recommendations.
• Help resolve inquiries, complaints, or escalated issues from staff, other departments, external agencies, or the public. PHYSICAL REQUIREMENTS:
Ability to lift and carry up to 10 pounds occasionally. Primarily involves sitting, with occasional walking or standing. Requires the ability to use a computer or other equipment while seated for extended periods. May involve fine motor skills for tasks such as typing or handling small items.
ENVIRONMENTAL CONDITIONS AND WORK HAZARDS:
Work is primarily conducted in a climate-controlled office setting; however, position may require occasional or frequent travel throughout the County to various departments depending on assignment. The role requires prolonged periods of sitting and extensive use of computers and other office equipment, which may lead to eye strain and repetitive motion injuries. Employees may frequently engage in meetings and teamwork, requiring effective communication in shared spaces. There may be occasions when work is required to be done outside of normal business hours based on operational need and management discretion.

Qualifications
QUALIFICATIONS:
Candidates should possess a solid foundational background that demonstrates their ability to engage with the responsibilities of the role effectively.
• High School diploma or GED required. College degree from an accredited institution in a relevant field (e.g., business administration, management, operations, or similar) preferred.
• Two (2) years of experience in a clerical or administrative support role. An equivalent combination of education and experience may be considered.
• Hands-on experience with Microsoft Office products (Outlook, PowerPoint, Excel, Word), Windows operating systems, and office equipment.
• Ability to guide and assist lower-level staff while ensuring quality control in departmental outputs.
• Ability to research operational issues, analyze data, and provide practical solutions to management.
• Demonstrated success in recognizing opportunities for efficiency improvements and assisting in implementing procedural changes.
• Strong organizational skills, able to prioritize tasks and manage multiple projects simultaneously.
• Excellent verbal and written communication skills for clear and effective interaction with internal and external parties.
• Ability to support management in addressing complex issues and providing actionable recommendations. Additional Information

PRE-EMPLOYMENT SCREENING: This position requires a physical, drug testing, driver's license verification and level 2 background screening which includes fingerprinting.
