Title: Administrative Management Specialist (Full-time position)
Location: CENSECFOR HQ, Virginia Beach, VA
North South Consulting Group (NSCG) is seeking an experienced Administrative Management Specialist to provide executive-level administrative and management support for the Center for Security Forces (CENSECFOR) Headquarters and its 18 subordinate training locations. This position is responsible for maintaining operational continuity through expert coordination, planning, communication, and leadership protocol support. While often operating independently, the specialist regularly collaborates with military and civilian personnel to ensure high-quality, consistent administrative operations that directly support senior command leadership.
Key Responsibilities:
- Independently performs various executive and office management tasks, demonstrating discretion and sound judgment on matters of significance.
- Manages schedules and calendars for senior leaders; coordinates conference rooms and audio bridges.
- Prepares correspondence, memoranda, and official directives; reviews for accuracy, compliance with Navy formats, and procedural correctness.
- Arranges domestic travel for senior staff in accordance with JTR and DoD policies, including transportation, lodging, and voucher processing.
- Coordinates high-level events, meetings, and command-hosted conferences; supports protocol, itinerary development, and logistics.
- Attends events to provide administrative setup, notetaking, and action item tracking.
- Manages the Command's Incentive Award Program and processes all associated documentation.
- Provides expert publishing and formatting support for presentations, newsletters, briefings, and formal documents.
- Reviews existing and proposed command policies for clarity, consistency, and format compliance.
- Maintains ongoing communication with field activities, subordinate commands, and outside agencies.
- Supports leadership with administrative needs tied to command protocols, military courtesies, and internal coordination.
Qualifications:
- Proven ability to perform the full range of duties expected of an Office Manager, exercising discretion and independent judgment in support of HQ Front Office operations.
- Experience in establishing and adjusting work priorities and effectively communicating with staff across command levels.
- Demonstrated ability to perform various administrative and executive support tasks with minimal supervision.
- Bachelor's degree from an accredited institution and at least 3 years of experience in a Navy administrative environment OR A minimum of 12 years of experience in a Navy or Marine Corps administrative environment
- At least 5 years of experience providing executive-level administrative support within the Navy or Marine Corps.
- Must have relevant experience within the last three (3) years in administrative, presentation, protocol, and operational support roles.
- Demonstrated experience with high-level event coordination, travel planning, and a thorough understanding of Navy protocol and military courtesies.
- Excellent verbal and written communication skills, with the ability to draft and edit professional documents.
- Strong knowledge of Navy and Marine Corps organizational and command structures.
- Security Clearance: Must be able to obtain a Favorable Tier 3 Background Investigation
