Executive Administrative Assistant - Litigation (Temp-to-Hire)

Overview

We are seeking a highly experienced Executive Administrative Assistant to join a prestigious law firm located in downtown Raleigh, NC. This senior-level position requires a minimum of 5 to 10+ years of litigation experience and offers an exciting path to permanent employment following a minimum four-month temp period (conversion based on performance).

During the temporary phase, the firm provides an additional $1.50/hour to help offset the cost of obtaining medical insurance.

Key Responsibilities
  • Conduct pre-claim investigations, legal research, and initial case assessments
  • Draft pleadings, motions, and appellate documents
  • Liaise with court clerks and government agencies regarding filing procedures
  • Review and summarize local filing rules for team members
  • Calendar hearings and deadlines; manage case logistics and organize files
  • Maintain pleadings and discovery indexes
  • Organize and prepare exhibits, briefs, and supporting documents
  • Support attorneys with large-scale document productions and discovery
  • Assist in trial preparation and case settlement activities
  • Redact and prepare documents for production
  • Review and index medical records
  • Coordinate depositions, including scheduling and exhibit preparation
  • Use state and federal court systems for e-filing and document retrieval
  • Bates-label and index document productions
  • Track incoming client documents and manage task assignments across cases
  • Participate in team meetings and contribute to case strategy planning
  • Manage deposition deadlines, errata forms, and confidentiality notices
Qualifications
  • Education:
  • Associate degree or equivalent related work experience
  • Paralegal Certificate from an ABA-accredited program (preferred)
  • Experience:
  • 5-10+ years in a litigation-focused legal administrative or paralegal role
  • Skills:
  • Advanced proficiency in Microsoft Word, Outlook, Lexis, Westlaw
  • PACER and Relativity experience required
  • Strong legal writing, proofreading, and communication skills
  • Excellent organizational and multitasking abilities
  • High attention to detail and accuracy under pressure
