Administrative Executive Assistant to the Chief Operating Officer,
TLC Solutions of Florida - West Palm Beach, FL

Job Responsibilities:
As the Administrative Executive Assistant, you will play a vital role in supporting daily business operations. Your duties will include, but are not limited to:
Administrative & Executive Support:
. Manage and coordinate the Chief Operations Officer's calendar, scheduling meetings, and appointments.
. Handle emails, phone calls, and correspondence on behalf of the Chief.
. Prepare reports, presentations, and internal communications.
. Maintain confidential files, records, and company documents.
. Serve as a liaison between the Chief and various departments, vendors, and clients.
Office & Operations Support:
. Assist in daily office administrative management to ensure efficiency.
. Monitor and order office supplies as needed.
. Help organize and maintain an efficient filing system (both digital and physical).
. Ensure all documentation related to transportation services, contracts, and compliance is up to date.
. Coordinate with dispatchers, drivers, and client service representatives to support operations.
Client & Business Relations:
. Communicate professionally with hospitals, healthcare facilities, and clients.
. Assist in handling inquiries from case managers, hospital discharge coordinators, and facility administrators.
. Provide top-notch customer service and follow up on client concerns.
HR & Staff Support:
. Assist with new hire onboarding, paperwork, and compliance.
. Maintain employee records and assist in HR-related tasks.
. Coordinate meetings, staff events, and company-wide communications.
Problem-Solving & Special Projects:
. Handle urgent issues as they arise, acting as a right-hand to the COO.
. Assist with special projects, including company hosted events, marketing initiatives, and operational improvements.
. Work on process improvements to enhance office efficiency and effectiveness.
Qualifications:
. Previous experience as an Administrative Executive Assistant, Executive Assistant, or Office Manager preferred.
. Strong organizational skills with the ability to multitask and prioritize tasks effectively.
. Excellent written and verbal communication skills.
. Ability to handle confidential information with discretion and professionalism.
. Tech-savvy "proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfortable learning new software.
. Strong problem-solving skills and ability to work under pressure.
. Experience in transportation, healthcare, or logistics is a plus but not required.
. Bilingual (English/Spanish) is a plus.
Schedule & Compensation:
. Full-time position (Monday-Friday).
