The Executive Administrative Assistant is responsible for providing administrative support for the LBS Commercial Leader and VP, Mammotome Commercial Leader. This position is part of the Commercial organization located in Cincinnati, Ohio and will be on-site. You will be a part of the Commercial Sales organization and report to the VP, Commercial Leader. In this role, you will have the opportunity to:
- Manage complex calendars, meetings and travel, including both domestic and international arrangements.
- Serve as administrative contact and liaison with senior leaders, external providers in support of the commercial organization and Cincinnati office as needed.
- Prepare financial and expense reporting using internal systems.
- Review, assess, route answers and monitors follow up action steps related to correspondence both internally and externally.
- Provide local administrative support as needed.
The essential requirements of the job include:
- 5+ years Office administration, EA or similar supporting executives
- Requires experience supporting two or more Sr Level VP/Executives
- Some experience working for a corporate and/or global company
- Must have excellent experience in complex calendar management; looking at calendars and finding the right meeting times for multiple people.
- Experience scheduling meetings for multiple leaders (using zoom, teams etc)
- Experience in being proactive; not waiting for the executive to ask; instead jumping in and taking charge
- Some knowledge to facilitate onsite events, order lunch and supplies
- Must be confident in speaking up; ex; if something is double booked able tactfully and with diplomacy speak up and state something isn't working
- Comfortable in asking questions and being vocal and assertive when needed
- Bonus: Experience with SAP ERP or similar
- Bonus: Experience with Concur or similar
- Experience Word, Excel, PowerPoint, Outlook
- Proven interpersonal skills and experience providing complex administrative support in a high-profile environment with tact and diplomacy.
- 10-15% domestic and international travel per business needs; once a year or less.
