The Driver Administrative Coordinator is a critical role responsible for overseeing internal audits, administrative operations, and coordination efforts within the Driver team. This individual will play a key role in ensuring compliance, accountability, and operational excellence within the delivery operation.
The ideal candidate is highly detail-oriented, organized, and capable of managing multiple priorities in a fast-paced environment. Strong communication skills are essential, as this individual will relay critical compliance, audit, and disciplinary information to leadership, ensuring alignment and transparency across the organization.
This role requires a high level of accountability, precision, and adaptability. The successful candidate will be a proactive problem-solver with the ability to anticipate challenges, drive process improvements, and ensure operational integrity within the driver team.
Responsibilities include:
- Conduct and oversee internal audits related to driver safety, attendance, compliance, and disciplinary actions, ensuring full adherence to company policies.
- Track and document execution of disciplinary actions with precision, maintaining consistency and proper record-keeping.
- Clearly communicate audit findings, compliance concerns, and disciplinary action recommendations to leadership, ensuring proactive resolution.
- Oversee and manage the auto insurance claims process for company vehicles, including timely filing, documentation, and effective communication with insurance providers.
- Monitor and track the status of insurance claims, providing leadership with regular updates and escalating issues as necessary.
- Ensure strict compliance with insurance requirements, reporting standards, and internal policies related to accident management and claims processing.
- Oversee the tracking of equipment inventory levels for the driver team, ensuring sufficient stock and placing orders as needed to maintain seamless operations.
- Maintain comprehensive and organized records of audits, incidents, compliance reports, and insurance claims for reference and reporting purposes.
- Collaborate cross-functionally with internal teams to enhance safety, compliance, and risk mitigation strategies within the driver operations.
- Support driver operations with administrative tasks such as scheduling, reporting, and document management.
- Serve as a primary point of contact for compliance, audits, and insurance-related inquiries within the driver team.
- Proactively identify areas for process improvement, implementing best practices to enhance accuracy, efficiency, and compliance.
- Establish, refine, and enforce systems and standards for conducting audits, ensuring best-in-class compliance practices.
- Utilize exceptional communication skills to relay critical information effectively across teams, ensuring leadership is well-informed of key compliance, audit, and disciplinary matters.
- Contribute to the continuous improvement of company audit procedures, driving accountability and operational excellence.
- Perform additional responsibilities as needed to support the success of the delivery operation.
Qualifications:
- Bachelor's degree in Business Administration, Logistics, Operations Management, or a related field preferred (or equivalent work experience).
- 2+ years of experience in administrative, compliance, or operational coordination roles, preferably in logistics, transportation, or delivery operations.
- Strong attention to detail with the ability to track, document, and analyze compliance and operational data.
- Excellent verbal and written communication skills, with the ability to relay critical information clearly to leadership and cross-functional teams.
- Highly organized with the ability to manage multiple priorities, deadlines, and administrative tasks in a fast-paced environment.
- Strong problem-solving and critical-thinking skills, with the ability to proactively identify risks and process improvement opportunities.
- Proficiency in Microsoft Office Suite or Google Workspace (Excel, Word, Slides) and experience working with data management or reporting tools.
- Ability to handle sensitive and confidential information with discretion and professionalism.
- Experience in auditing, compliance tracking, or claims management.
- Familiarity with fleet management, transportation operations, or insurance claims processes is preferred.
