Under broad supervision from the Paul College Educational Program Coordinator II (team lead), and with a focus on continuous improvement and customer service, provide administrative support for all Paul College academic departments, options and programs, including providing expertise and information to all chairs, faculty and other relevant unit staff within the college on all processes related to financial transactions, department-run events coordination, student hiring and awards, vendor onboarding and payments and other work supporting the academic operations of the college as assigned, using independent judgement, problem-solving skills and initiative in determining approach and appropriate action needed in non-routine situations.
This position resides within the Paul Administrative Support Services (PASS) team, collaborates continuously with other members of the PASS team and shares the workload of the PASS team, ensuring a high level of support for all academic departments within Paul College.
Duties/Responsibilities Events Coordination (50%) - Coordinate all logistics for and execution of department-run internal events and serve as liaison with Paul College Marketing Events Specialist on high-level, externally facing department signature events. Oversee and manage the department events calendar, assign workload as needed across the Paul Administrative Support Services (PASS) team to ensure a high quality of execution of all events. Leverage relationships through the UNH campus and USNH system in regard to managing expenses, marketing efforts, and community outreach so as to continuously improve event execution and internal/external community engagement, while reinforcing Paul College as a thought leader and industry partner for our students and business community.
- Collaborate with the Educational Program Coordinator (PASS team lead) on opportunities or challenges in delivering events on time, at the right level of execution and with equitable workload.
- Manage registration and digital resources for all department-run events, including webpages, registration platforms (Destiny One, MS Forms, Drupal webforms, etc.) including the creation of marketing elements, adding events to UNH calendars, leveraging Paul College Communication and Marketing's social channels, providing post-event analysis, chair and faculty feedback, etc.
- Act as a resource for faculty advisors and chairs regarding department level events in order to drive student experience, community impact and institutional reputation.
Expense Management/Financials (30%) - Assist with Expense Management tasking assigned to Paul Administrative Support Services (PASS) team, such as purchasing card reconciliation, expense report creation for select faculty, processing worker (i.e. student or staff member) or non-worker (i.e. vendor, speaker or other UNH guests) expense reports, honorariums and other invoice payments, etc.
- Act as a resource for college faculty to navigate finance processes when support is requested.
- Perform entries and related research for financial transactions including reimbursements, expenditures and purchase orders/invoice payment as it pertains to the academic departments.
Administrative Support - non-financial (20%) - As part of the PASS team, support administrative requests as they come into the team email, including exam/quiz print requests, room bookings for student accommodations, financial process inquiries, requests for department purchasing card use, guest parking requests, and other basic administrative tasking
- Maintain processes within the PASS team's academic file sharing system (SharePoint) for all required and relevant academic documents (such as, but not limited to syllabi, processes, form templates, FAQs and Job aides, PCard receipting, PCard purchasing exception forms, etc.)

Requirements Minimum Acceptable Education & Experience: - High school graduation and a minimum of four years related experience involving progressively responsible business/accounting/administrative duties, or an Associate degree and two years related experience, or combination of higher education and related experience equal to four years.
Knowledge, Skills & Abilities: - Knowledge of UNH HR and Finance systems and processes, and/or experience with HR and Finance systems in other organizations and a demonstrated aptitude for learning new software. Experience processing business transactions related to personnel and finance. Experience explaining processes and policies to others.
- Computer application skills such as spreadsheets, work processing, email, browser, data entry/retrieval/management, filesharing platforms, and videoconferencing software (Zoom, Teams, etc.) Knowledge of software applications such as UShop, WorkDay, PaymentWorks and other ERP solutions.
- Ability to establish and maintain effective working relationships with faculty, staff, students and central USNH units and staff.
- High-level communication skills, including the ability to collaborate up, down and across the organization, successfully navigate challenges and delegate effectively to support the completion of complex tasking and projects.
- Organizational, customer service, analytical and problem-solving skills.
- Knowledge of bookkeeping and accounting methods.
