Let's do this. Let's change the world. Amgen is looking for a bright, organized, energetic and dependable administrative professional to join our team as an Administrative Coordinator supporting Amgen South San Francisco (ASF) and the ASF senior leadership team (SLT).

In this vital role, you're at the heart of the team's business operations and activities, anticipating the needs of your managers and team members to help them stay focused and keeping your team moving forward. In addition to being organized, you possess the strong business judgment and communication skills to interact with a variety of teams across the organization.

The role of the Administrative Coordinator (AC) will be primarily responsible for supporting the ASF SLT in their duties of ensuring that all staff at the site are enabled to work effectively and fulfill Amgen's mission to serve patients. This will involve a variety of complex administrative support activities; to assist in report generation as requested; to facilitate tracking of deliverables and timelines as directed; and to manage the coordination of meeting logistics and other duties as assigned. You are expected to maintain a regular on-site presence (at minimum a few days per week) to support team operations and event coordination. You would also provide on-site support during events, ensuring seamless execution and troubleshooting any issues real time.

Key responsibilities include:
Managing the ASF site calendars (Outlook)
Scheduling meetings and reserving conference rooms (Outlook)
Plan, coordinate, and execute internal and external events, ensuring alignment with site and company goals.
Manage event logistics, including venue selection, catering, audiovisual setup, and vendor coordination.
Managing departmental/site administrative files
Performing administrative duties as assigned
Maintaining distribution, contact and personnel lists
Coordinating mailings and courier/deliveries as needed
Managing the administrative aspects of relationships with outside experts and vendors
Provide backup support to additional department Administrative Coordinators as needed
Preparing agendas and action items as requested

Basic Qualifications:

Associate's degree and 2 years of Administrative experience

Or
High school diploma/GED and 4 years of Administrative experience

Preferred Qualifications:

Bachelor's degree
Experience working in biopharma industry
5+ years of experience in an administrative support role supporting large teams at different levels
Strong background in event planning, with experience managing logistics, vendor coordination, and on-site execution.
Managing multiple calendars including coordination across multiple time zones
Excellent written, verbal, and presentation skills in communicating key business and clinical information
Advanced knowledge of MS Outlook, Teams, Excel, PowerPoint, Word (i.e. word processing, presentations, and spreadsheet skills) as well as Concur. Sharepoint, Learning Management Systems
Experience providing administrative support to remote staff
Outstanding organizational and interpersonal skills
Ability to work in a fast-paced, deadline-driven environment
Discretion in dealing with proprietary information

This role is paid hourly. The expected annualized salary range for this role in the U.S. (excluding Puerto Rico) is $79,642 -104,457. Actual salary will vary based on several factors including, but not limited to, relevant skills, experience, and qualifications.
