HealthRIGHT 360's Mobile and Street Medicine program delivers comprehensive, high-quality medical care and social services to individuals experiencing homelessness in San Francisco. Rooted in the mission to "go to the people", the program offers services directly to patients-on the street, in encampments, or via a fully equipped mobile medical van. The program operates as an extension of our Integrated Care Center (ICC), expanding the reach of our services beyond the clinic walls. This new and rapidly growing initiative is committed to providing low-barrier, trauma-informed, and person-centered care in the environments where people live. Our multidisciplinary team prioritizes trust, continuity, and access while delivering compassionate, dignified, and high-quality services to some of the city's most underserved populations.

The Administrative Coordinator for the Mobile & Street Medicine team plays a critical role in ensuring the operational and logistical success of our mobile and street-based services. As part of a collaborative team, the Admin Coordinator provides both field-based and office-based support. In the field, this role will help facilitate patient care by assisting with registration, insurance verification, appointment scheduling, and social services navigation. In the office, the Admin Coordinator will perform a wide range of administrative and project support functions to help the team stay organized, efficient, and responsive.

KEY RESPONSIBILITIES

Program & Strategic Support
  • Participate in team planning sessions and help implement programmatic initiatives to improve service delivery and operational efficiency.
  • Coordinate closely with HR360's operations and facilities teams on matters related to vehicle maintenance, insurance coverage, equipment needs, and mobile unit logistics.
  • Serve as a liaison with internal departments (e.g., HR, IT, billing, facilities, compliance) to support seamless cross-functional coordination for Street Medicine operations.
Administrative & Office-Based Responsibilities
  • Provide general office and administrative support to the Street Medicine team, including EHR data entry, document preparation, communication coordination, and managing calendars.
  • Draft, transcribe, and distribute meeting minutes, team reports, outreach schedules, and training materials.
  • Maintain confidential files and records, both physical and electronic, in compliance with HIPAA and agency standards.
  • Support onboarding of new hires, act as a team "buddy," and coordinate with HR to facilitate hiring, credentialing, background checks, and license/certification renewals for clinical staff.
  • Coordinate and track credentialing, licensing renewals, and staff certifications to ensure program compliance.
  • Assist with audit preparation, policy implementation, and quality improvement efforts.
Field-Based Responsibilities
  • Support outreach and mobile clinic operations by preparing materials, supporting real-time data entry in mobile environments, and ensuring a smooth registration and intake process.
  • Welcome and register patients in the field, verify insurance or assist with applications (e.g., Medi-Cal), and schedule follow-up appointments.
  • Assist patients with navigation of social services such as housing, food programs, behavioral health, and public benefits.
  • Support logistical flow of mobile care delivery, including set up and breakdown of outreach activities and supply distribution.
  • Help manage inventory and restock medical, hygiene, and administrative supplies for the mobile unit and outreach kits.
Data, Billing & Financial Administration
  • Support accurate data entry and assist with data reconciliation for internal and external reporting requirements (e.g., encounters, service delivery, patient metrics).
  • Serve as an administrative liaison for billing, including tracking billable services and assisting with documentation reviews to ensure compliance.
  • Support Enhanced Care Management (ECM) documentation and workflows, collaborating with the team to ensure timely task completion and program adherence.
  • Process program-related expenditures, including petty cash, reimbursements, vendor invoices, and supply purchases, in collaboration with the finance team.
Other Responsibilities
  • Act as the primary point of contact for administrative aspects of mobile medicine operations, ensuring a trauma-informed, patient-centered approach is upheld in all functions.
  • Assist with the planning and coordination of staff training, team meetings, community events, and onboarding sessions.
  • Maintain cleanliness and organization of the team's shared spaces, vehicles, and equipment.
QUALIFICATIONS

Education, Experience and Credentials
  • Bachelor's degree in a related field.
  • CPR and First Aid Certification.
  • A minimum of one year of administrative or program coordination experience, preferably in a healthcare or human services setting.
  • Experience in general office tasks including data entry, document management, and phone/email communications.
  • Comfortable working in non-traditional and field-based environments, including mobile units and outdoor outreach.
  • Valid driver's license and ability to travel throughout San Francisco to outreach locations.
  • Preferred experience working with unhoused populations or other underserved groups.
Knowledge, Skills and Abilities
  • Familiarity with Medi-Cal billing and Electronic Health Record (EHR) systems (e.g., NextGen, Epic, etc.).
  • Knowledge of Enhanced Care Management (ECM) workflows.
