Description

We are seeking a detail-oriented and highly organized Administrative Coordinator with strong communication skills (written, verbal, and listening) to support various departments across the company. This individual will be responsible for a variety of administrative tasks, ensuring smooth daily operations and assisting in company-wide initiatives. The ideal candidate will be a proactive team player who thrives in a dynamic environment.

Education & Experience Requirements:
  • High School Diploma or GED required
  • Previous administrative or office experience is a plus
Key Responsibilities:
  1. Ensure all products produced meet safety, legal, and quality standards.
  2. Perform front office reception duties, including answering phones, greeting visitors, and ensuring NDA agreements and visitor guidelines are signed as needed.
  3. Assist Human Resources, Accounting, Sales, and Operations with internal projects such as company events, community engagement, and tradeshows.
  4. Handle weekly errands including trips to the post office, guest lunch arrangements, and other special tasks.
  5. Maintain a strong understanding of the warehouse system, including item codes and inventory.
  6. Organize, prepare, and ship sample materials for the sales team, maintaining detailed records and ensuring timely delivery. Utilize SharePoint for sample production and packaging requests.
  7. Support sales team initiatives, including cold calling, assembling packages, preparing for tradeshows, and attending marketing events (may require occasional evening/weekend availability).
  8. Arrange travel accommodations for employees, and manage all related receipts and documentation.
  9. Monitor and maintain office supply inventory.
  10. Act as the primary contact for the breakroom vendor.
  11. Maintain and update content on the company communication monitor.
  12. Provide backup support to the Customer Service Representative as needed.
  13. Demonstrate the ability to multi-task and meet deadlines effectively.
  14. Possess proficiency in Microsoft Office Suite and general computer skills.
