This Opportunity French & Parrello Associates (FPA) is currently searching for a full-time
Administrative Coordinator to support our
Marketing Department at our Headquarters in
Wall Township, NJ.
As a member of FPA's Marketing Department, you will be part of a dynamic team of industry professionals operating in a fast-paced, competitive environment. The ideal candidate will integrate quickly with the team and provide detail-oriented, organized support to aid in the department's ongoing activities and strategic initiatives. This position reports directly to the Director of Marketing and supports all members of the Marketing and Business Development team.
Core Responsibilities - Provide high-level administrative support to the Director of Marketing and broader marketing team
- Manage the master calendar of the firm's marketing-related events, including trade shows, conferences, networking events, and client meetings
- Coordinate staff participation in events by sending invitations, tracking responses, registering attendees, and managing deadlines
- Coordinate logistics for tradeshows and conferences, including exhibit setup, booth coverage scheduling, and travel arrangements as needed
- Track marketing-related expenses and manage purchase orders, invoices, and vendor communications
- Maintain accurate and up-to-date marketing department records, including staff certifications, awards, and memberships
- Serve as primary contact for marketing vendors, event organizers, and other external partners
- Run periodic reports and conduct research to support marketing and business development initiatives
- Coordinate and execute department print needs, including printing, binding, assembling, and mailing of proposals, presentations, and other collateral materials
- Perform other administrative duties as needed to support the team's success
Required Qualifications - Self-starter with strong initiative and exceptional organizational skills
- Proactive and goal-oriented, with the ability to thrive in a collaborative team environment
- Capable of managing project assignments independently from start to finish with minimal oversight
- Exceptional attention to detail with excellent verbal and written communication skills
- Ability to manage multiple priorities and meet deadlines in a fast-paced setting
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with Adobe Creative Suite (InDesign, Photoshop) is a plus
- Minimum of 5 years' experience in an administrative or executive assistant role
