Description

Minerva Dairy is seeking a highly organized, enthusiastic, and dependable Team Operations Partner (or Administrative Coordinator) to join our growing corporate team. This key role supports daily office operations while also contributing to marketing efforts, customer service excellence, and overall team cohesion.

Key Responsibilities
  • Ensure the smooth and efficient operation of our corporate office through proactive administrative support.
  • Serve as a friendly and professional first point of contact for incoming phone calls, emails, mail, walk-in visitors, and part drop-offs to Joe.
  • Manage postage, shipping needs, and stamp inventory.
  • Monitor and maintain office supply inventory; place orders to ensure team members always have what they need.
  • Coordinate copier maintenance and liaise with vendors to ensure optimal function of office equipment.
  • Schedule and coordinate internal meetings, appointments, team events, and travel arrangements.
  • Collaborate with the Cleaning Genie on appointment scheduling and small office improvement projects.
  • Keep both digital and physical filing systems organized, accurate, and up to date.
  • Assist in preparing, editing, and distributing internal communications, client correspondence, and marketing materials.
  • Support marketing campaigns by preparing promotional materials, maintaining mailing lists, and assisting with events.
  • Help maintain a clean, welcoming, and functional office space.
  • Provide support to HR and leadership teams with onboarding coordination, training calendars, and employee engagement efforts.
  • Assist with basic finance tasks including expense reports, invoice processing, and receipt tracking.
  • Collaborate cross-functionally to support projects, events, and special initiatives as needed.
  • Represent Minerva Dairy with positivity and professionalism in all internal and external interactions.
Requirements
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Previous experience in an administrative, office support, or coordination role.
  • Excellent written and verbal communication skills with a warm, people-first approach.
  • Strong organizational and multitasking skills; attention to detail is a must.
  • A team player who is dependable, proactive, and adaptable to changing priorities.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); ability to quickly learn new systems and tools.
  • Familiarity with customer service, marketing coordination, or internal communications is a plus.
  • Experience with inventory tracking, basic finance tasks, or vendor coordination is helpful.
  • Ability to maintain confidentiality, take initiative, and approach challenges with positivity and professionalism.
