Role description:

We are seeking an Administrative Coordinator to join our Technical Advisory Services (TAS) team. This position is vital to ensuring the efficient operation of TAS, which provides a wide range of consulting services.

This role offers a unique opportunity to work closely with TAS leadership and team members to support the overall functioning of the business. Additionally, the Administrative Coordinator will play a key role in assisting project managers in the successful delivery of assignments, ensuring that projects are well-organized, deadlines are met, and deliverables are of the highest quality. Familiarity with the construction or engineering industry is a plus.

Role accountabilities:

Business Development Support
  • Organize tradeshow attendance, including logistics coordination
  • Maintain and update contact data in the CRM system
  • Conduct market research as directed by business development leads
  • Prepare and edit collateral materials for external and internal use
Administrative Tasks
  • Organize and schedule team meetings, including forwarding meeting information to new hires
  • Troubleshoot IT issues as they arise
  • Maintain and update records for team birthdays and work anniversaries
  • Update the monthly agenda for team meetings
  • Manage exit processes, such as requesting Outlook access for former employees
  • Handle shipping logistics (FedEx, USPS, UPS)
Project Support
  • Work closely with project managers to ensure the successful delivery of assignments
  • Create and manage project-specific Team Sites, ensuring proper access and sharing
  • Upload and download large volumes of files as needed
  • Organize, rename, and structure documents for consistency and accessibility
  • Coordinate printing and oversized plotting requirements
  • Develop and maintain spreadsheets for project analysis (e.g., Pay App summary, Meeting Minute summary, etc.)
  • Convert PDFs to Word or Excel formats and ensure proper formatting
  • Review project reports for consistency and accuracy
  • Compile exhibits and tabs for project deliverables (digital or hard copy)
  • Extract files from Bluebeam and archive/retrieve documents as needed
  • Format Word, Excel, and PowerPoint files for team and client use
Software Proficiency
  • Microsoft Office Suite (Word, Excel, PowerPoint) - Advanced Excel proficiency is essential.

Qualifications & Experience:
  • Exceptional organizational and time-management skills
  • Proactive and independent work ethic
  • Strong collaboration skills to effectively support leadership, team members, and project managers
  • Familiarity with the construction/engineering industry is preferred
  • Advanced proficiency in Excel, with experience in creating and managing complex spreadsheets
  • Ability to multitask and prioritize responsibilities in a dynamic environment

Arcadis offers benefits for full time and part time positions. We offer nine paid holidays and 15 days PTO that accrue per year. The salary range for this position is $65,000 - $95,000. Actual salaries will vary and are based on several factors, such as experience, education, budget, internal equity, project and location.
