Administrative Coordinator

AquaPhoenix Scientific, located in Hanover, PA is seeking a full-time Administrative Coordinator to provide support with a wide range of department activities and initiatives. The Administrative Coordinator is primarily responsible for handling day-to-day administrative and operational tasks. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a passion for fostering a positive work environment through exceptional employee-focused assistance.

AquaPhoenix Scientific considers applicants with diverse backgrounds, education, and work experience; however, applicants for the Administrative Coordinator will frequently have a combined education and/or work experience that is a minimum of two or more years' administrative experience, preferable in Human Resources. An advanced degree in Human Resources, Business, or related field is not required but can be a plus.

Although not all inclusive, some additional job responsibilities and skills will include:
  • Administrative Support: Assist with day-to-day HR operations, including maintaining employee records, processing new hire paperwork, and managing HR databases.
  • Recruitment Assistance: Support the recruitment process by posting job openings, screening resumes, coordinating interviews, and communicating with candidates.
  • Onboarding: Facilitate the onboarding process for new employees, including orientation sessions, training scheduling, and ensuring all necessary documentation is completed.
  • Employee Relations: Serve as a point of contact for employee inquiries regarding policies, benefits, and procedures; assist in resolving issues or concerns.
  • HR Projects: Participate in various HR initiatives and projects, such as employee engagement activities, performance management processes, and compliance audits.
  • Record Keeping: Maintain accurate and confidential HR files, ensuring compliance with relevant laws and regulations.
  • Reporting: Assist in generating reports and analytics related to HR metrics, including turnover rates, hiring statistics, and employee satisfaction surveys.
  • Confidentiality: Maintain empathy, and mutual respect at all times while safe-guarding restricted information.
Additional characteristics and skills include but are not limited to:
  • Proficient with MS Office and related business and communication tools.
  • Meticulous attention to detail to accurately maintain records and handle sensitive information with confidentiality.
  • Strong verbal and written communication skills to effectively interact with employees and management.
  • Excellent organizational skills to manage multiple tasks and responsibilities efficiently.
  • Strong problem-solving skills to address employee concerns and resolve issues.
  • Proficiency in learning HRIS software, spreadsheets, and other department applications.
  • Interpersonal skills to build and maintain positive relationships with employees and external stakeholders.
