Advertised Job Summary:Reporting to the Assistant Dean of Administration, the Administrative Coordinator serves as the Office Manager for the Administrative Offices of University Libraries. Position manages the front office and supports the Associate Deans; processes all hiring of students; processes all travel reimbursements for faculty, staff, visitors, and applicants; coordinates event management for University Libraries, including internal and external requests; manages the purchasing of supplies (office and archival) for all departments within University Libraries; and manages all-library communications across Libraries listservs.
Job Related Minimum Required Education and Experience:Requires a bachelor's degree in a job related field and 1 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.
Preferred Qualifications:Ability to supervise, assign duties and review work of others.
Knowledge/Skills/Abilities:Knowledge of modern office practices, procedures, and equipment. Ability to maintain confidentiality. Ability to effectively plan and organize work activities to prioritize task completion according to schedules and goals. Ability to communicate effectively. Ability to deal courteously and effectively with internal and external customers. Ability to exercise sound judgment and discretion in interpreting and applying policies and procedures.
Job Duty:Serves as central point of contact for the administrative office by answering telephones, greeting patrons and guests, and providing support for Assistant/Associate Deans (5), to include scheduling, meeting preparation. Provides backup assistance to Executive Assistant for Dean of Libraries. Ensures office is open and covered from 8:00 am - 5:00 pm. Supervises temporary or student workers for the administrative offices.

Job Duty:Manages and maintains travel records for all library personnel and library guests. Includes arranging trip itineraries, purchasing tickets, making reservations, and submitting reimbursements through PeopleSoft.

Job Duty:Plans, coordinates, and manages event components including, but not limited to fee negotiation, space reservation. Works closely with Building Manager and Assistant Dean to ensure events are successful and managed appropriately. May work outside of business hours during event coordination.

Submits order for approval, orders supplies, and distributes across University Libraries system (MIRC, Music Library, Hollings Library, South Caroliniana Library, and Thomas Cooper Library). Responsible for all supplies kept in stock on a continuous basis.
