Administrative Coordinator

BB&E is an employee-owned, full-service civil and environmental engineering and consulting firm, headquartered in Northville, Michigan, which services both the Federal and Industrial sectors throughout the United States. BB&E team members provide Environmental Consulting, Facilities Engineering, and Program/Project Management Services to the Federal and private sectors.

Position Summary

BB&E is seeking a dynamic and detail-oriented Administrative Coordinator to join our team on a part-time basis (on-site, 5 days a week, up to 4 hours daily, with flexible work hours), supporting the Peachtree Corners, GA office. The ideal candidate will be a master multitasker with an upbeat attitude and a willingness to learn. Candidates should be able to assist all levels of management by handling general office tasks and providing professional assistance. To be successful, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Must be comfortable with computers and excel at both verbal and written communication. Most importantly, candidates should have a genuine desire to meet the needs of others.

Job Duties & Responsibilities
  • Handle general office tasks, such as filing, generating reports, setting up meetings, mailing/shipping, and ordering supplies
  • Complete clerical and administrative duties
  • Assist management with project support
    • Data entry, send team communications, upload files, etc.
  • Responsible for maintaining company's "swag", office supplies, and kitchen supplies
    • Perform bi-weekly inventory checks and order supplies accordingly
    • Keep the kitchen stocked with items available for employees; keep the area neat and tidy up daily
  • Assist the Human Resources department
    • Coordinate the setup of new employee workspaces, including cubicles and offices, to ensure a smooth onboarding experience.
    • Become familiar with company policies and the Employee Handbook
    • Distribute anniversary and birthday recognition items
  • Aid staff with IT issues
    • Assist with conference calls and meetings when needed
    • Contact appropriate organizations for any power/ISP outages
  • Order business cards as needed
  • Assist with company charity events
  • Maintain visitor logs, issue, check, and collect badges as necessary, and maintain badge security logs
  • Perform miscellaneous tasks as required by management and staff
Key Qualifications
  • Ability:
    • Attention to detail is a MUST
    • Desire to be proactive and create a positive experience for others
    • Able to maintain consistent professional dress and manner
    • Demonstrated time management skills
    • Excellent verbal and written communication skills
    • Excellent keyboarding skills
  • Software: Proficiency using MS Office, including Excel, Word, Project, and Outlook, is required; experience with SharePoint is a plus
  • Self-Starter: Highly motivated, with the ability to manage multiple tasks and deadlines autonomously
Experience & Education
  • Experience: A minimum of 1-3 years of administrative/receptionist experience is preferred
  • Education: A minimum of an Associate's degree is preferred
Physical Requirements
  • Ability to work on-site 5 days a week, up to 4 hours daily, with flexible work hours
  • Ability to stand/walk/climb/kneel/crouch and remain in a stationary position/sit at least 60% of the time
  • Ability to operate office equipment, including a computer, copy machine, phone, etc.
  • Ability to use hands to finger, handle, or feel objects or controls; reach with hands and arms
  • Capable of lifting up to 10 lbs.
  • Ability to see details of objects that are less than a few feet away
  • Ability to understand the speech of another person, speak clearly so listeners can understand, and talk or hear both in person and by telephone
