Job Description:
We are seeking a highly organized and detail-oriented Administrative Coordinator 5 to provide complex administrative support for project teams and management. This role involves managing project communications, handling sensitive information, and coordinating various logistical and administrative tasks.
Key Responsibilities:
- Manage complex project filing and communication.
- Perform electronic filing, scanning, and document assembly.
- Coordinate real estate and facility needs, including badging requests.
- Update floorplans and wayfinding.
- Manage regional office security requirements.
- Plan events, order supplies, and maintain project calendars.
- Create forms, presentations, and reports using MS Office and creative platforms (InDesign/Illustrator).
- Handle invoices, timesheets, and travel arrangements.
- Generate ad hoc reports and maintain project documentation.
Minimum Qualifications:
- Intermediate spreadsheet and word processing skills.
- Ability to complete pre-employment checks (background, drug screen, etc.).
Preferred Qualifications:
- 5+ years of relevant administrative experience.
- High School Diploma or equivalent.
- Advanced MS Office skills.
- Experience with expense and time reporting systems.
- Knowledge of InDesign and Illustrator.
- Strong communication, problem-solving, and organizational skills.
