Description
GENERAL DESCRIPTION: Performs clerical work related to court services and court administration.

Individuals assigned to Monitor Room may be tasked with the following:
  • Monitor and control all access into and out of designated areas
  • Monitor camera surveillance to include all cameras inside and outside of the courthouse
  • Monitor all duress and fire alarm systems
  • Maintain and review all security records daily
  • Notify appropriate individuals of suspicious individuals or activities observed through the monitoring system
  • Download video recording for authorized agencies and the Judiciary upon request
  • Monitor inmate and public actions to ensure courthouse integrity, security, and safety
  • Monitor courthouse and transportation deputies transporting prisoners and new arrestees
  • Operate a two-way radio system to maintain contact with courthouse deputies as well as transportation deputies
  • Communicate with outside emergency services such as 911, EMS, Fire, local police municipality, and the Santa Rosa County Sheriff's Office
  • Communicate with clerk's office, judicial assistants, and other court staff to assess the status of outstanding warrants on court dockets
  • Assist public and other agencies
  • Maintain coordination between outside agencies and the SRSO
  • Prepares correspondence, informational material and documents
  • Provide information to employees regarding maintained files
  • Perform data entry in computer
  • Log documents
  • Maintain records, databases, spreadsheets, and files
  • Retrieve and disseminate information to appropriate individuals
  • Sort/file paperwork
  • Answer phones and assist caller or direct to appropriate personnel
  • Perform other duties as required
Individuals assigned to DNA Clerk may be tasked with the following:
  • Work in conjunction with Circuit Court Clerks, State Probation, and Offender Registration
  • Prepare and process DNA collections for individuals sentenced by the court
  • Submit DNA collections to and coordinate with the Florida Department of Law Enforcement
  • Compile monthly statistic reports for command staff and/or chain-of-command
  • Assist with preparation of the Court Security annual budget
  • Coordinate with Training to facilitate all in-house training for staff assigned to the courthouse
  • Enter requisitions and purchase orders as directed to procure supplies
  • Coordinate with Purchasing to maintain levels of supplies and equipment for Court Security staff
  • Document and disseminate civil paperwork
  • Maintain documents for retention and destruction orders according to appropriate GS Guidelines
  • Maintain Court Security office calendar for staff leave and training assignments
  • Prepare and maintain manuals on specific subject matter for training purposes and for the Court Security Internship Program
  • Assist public and other agencies
  • Maintain coordination between outside agencies and the SRSO

Individuals assigned to either DNA Clerk duties or Monitor Room duties may be required to perform duties assigned to either location as directed by the Court Security Supervisor and/or their designee.

ESSENTIAL PHYSICAL SKILLS: Communicate using speaking, hearing and vision skills; use of data entry equipment; sit for extended periods.

ENVIRONMENTAL CONDITIONS: Office in secure area of facility.

KNOWLEDGE OF: Business English, spelling, computer and office machines.

ABILITY TO: Operate a computer; establish and maintain effective working relationships with inmates, officials, attorneys, co-workers, bondsmen and the general public.

SKILLS: Type, operate data entry equipment.

Typical Qualifications
MINIMUM QUALIFICATIONS: Graduation from high school or GED. Four years' experience with typing and data entry.

Supplemental Information
LICENSE: Applicant must have a valid Florida Driver's License at the date of hire and maintain said license while employed in this position.
CERTIFICATION: Position may require obtaining certification in NCIC/FCIC within six (6) months of employment/appointment and to maintain said certification throughout employment/appointment.

ADDITIONAL: Must pass a thorough background check including CVSA, physical exam, and drug screen if a new hire. May require shift work.
