JOB PURPOSE

The Administrative Associate is a valued member of the Seattle office. The primary responsibility is to provide support to the Seattle office concentrating on outstanding reception support, office coordination and client administrative support. The right candidate will be able to work in a small team environment with a can-do attitude, have the ability to find a solution to every problem and the capability to multi-task.

ESSENTIAL FUNCTIONS

RECEPTION & OFFICE ADMINISTRATION

1.

Coordinate Visitors, Client meetings, and answer all phones

2.

Management of all common areas and ordering of all office supplies

3.

USPS, FEDEX and UPS processing

4.

Office invoices and employee expense processing

6.

Research, coordinate and support all Seattle marketing events, team events, and gifts

7.

CRM management and entry

9.

Perform special projects and additional tasks as assigned

CLIENT ADMINISTRATIVE ASSOCIATE

Document scanning (Laserfiche) and electronic filing

11.

Client presentation final binding (PowerPoint)

DESIRED SKILLS & EXPERIENCE
  • Superior organizational skills with ability to multi-task and to manage and prioritize multiple projects and competing deadlines
  • Superior skills and experience with Microsoft Office, especially Word, Excel, and PowerPoint
  • Experience with Concur and/or SalesForce is a plus
  • Excellent written and oral communication skills
  • Problem solver who brings creativity and resourcefulness to everyday challenges
  • General office administration and clerical experience
  • Strong people skills
  • Client service focus
  • Excellent attention to detail with the ability to exercise independent judgment
  • Aptitude to understand and perform basic mathematical calculations such as fee calculations, and other percentage-based calculations

  • Highly organized with good time management skills
  • Understanding of trust accounting and/or estate planning concepts preferred but not essential
  • An interest in wealth management
DESIRED QUALIFICATIONS
  • Bachelor's degree preferred
  • Industry certification and/or a willingness to continue education is supported (CTFA or CFP)
COMPENSATION

Base salary range

$55,000 - $75,000 annually
