Position OverviewThis position is responsible for managing the customer service/reception operations for the Student Access Center in the University Academic Support Centers. The Administrative Associate serves as on-site supervision and point of contact for student office assistants providing customer service to students, faculty, and staff. The Administrative Associate coordinates the hiring, training, and supervision of front desk office assistants for the Student Access Center. This position also provides administrative and office support for the Student Access Center staff and ensures the reception area runs efficiently. The Administrative Associate reports to the Assistant Director in the Student Access Center.
Unit Overview:University Academic Support Centers (UASC) is a comprehensive student support program consisting of two unique centers designed to strengthen the academic skills and written communication of students at the University of Kansas. UASC supports the University's commitment to the academic success and holistic development of students. UASC programs encourage student participation both in and out of the classroom, support academic and personal development, and link students to other campus and community resources for academic and personal support and development. University Academic Support Centers is a department within Academic Success.
Job Description
50%: Supervision and Training - Manages the hiring, training, supervision, evaluation, and professional development of up to four (4) student office assistants (OAs) who provide front-desk reception. This includes ensuring OAs are trained to provide exceptional customer service by greeting students, parents, faculty, and staff via phone or in-person. Trains OAs to schedule appointments using Access Online, the accommodations management software.
- Ensures OA team understands the depth and breadth of all UASC services and programs (Wingspan & University Test Center). Creates and implements OA training materials and OA professional development opportunities.
- Collaborates with the Administrative Associate in the Wingspan and staff in the University Test Center to cross-train OAs and ensure adequate administrative support/customer service across UASC offices and services.
45% Administrative and Customer Service Support- Provide office reception, including supporting faculty, staff, and students and other call-in or walk-in traffic with requested information, directing them to appropriate office and campus resources.
- Processes, organizes and disseminates messages and initiates responses for routine inquires by phone and departmental email accounts.
- Receives confidential disability documentation and assists prospective students navigate the online registration process.
- Organizes and maintains the Student Access Center space, supplies, and literature.
- Administrative and calendar/appointment support for Student Access Center professional staff, including the AVP of Academic Success.
- Assists the professional staff in coordinating the search process for student employment opportunities in the Student Access Center.
5% Other duties as assigned..Required Qualifications
- High School diploma or completion of G.E.D. equivalency.
- Two years of office experience or two years of post-secondary education
Preferred Qualifications
- Bachelor's degree strongly desired.
- Experience training and supervising student staff, as evidenced in application materials.
- KU experience strongly desired, as demonstrated in application materials.
- Experience handling sensitive and confidential material, as demonstrated by one year of related experience.
- Experience working in a busy office with broad base of office skills and experience, as evidenced in application materials.
- Previous experience communicating critical and complicated information with clarity and sensitivity, as demonstrated in application materials.
