Job Summary:

The Administrative Associate will provide essential administrative assistance to a team or department. This role involves coordinating documents, gathering and inputting data, and ensuring smooth administrative operations. The ideal candidate will possess strong organizational and communication skills, attention to detail, and the ability to work independently with minimal supervision.

Key Responsibilities:
  • Coordinate and organize documents and data related to administrative support duties for the team, department, or leadership.
  • Conduct research, prepare statistical reports, and respond to routine information requests.
  • Gather, compile, and verify information, ensuring accuracy when entering data into reports, presentations, forms, and office systems (e.g., spreadsheets, databases).
  • Assist with data collection, entry, and report generation for various departmental activities.
  • Help prepare correspondence, schedule meetings, arrange conference calls, and support associate functions.
  • Respond to or redirect routine inquiries from internal and external sources about departmental activities or processes.
  • Prepare documentation for vendor payments, submit requests in the accounting system, and handle inquiries related to accounts payable and payees.
  • Maintain and update departmental policies and procedures documentation.
  • Participate in business improvement initiatives and projects as required.
  • Perform additional routine administrative tasks as needed, following established organizational procedures.
Required Skills and Experience:
  • Excel Proficiency (Medium-Advanced): Strong experience with data cleaning, formatting, and transformation (e.g., VLOOKUP/XLOOKUP, pivot tables, formulas).
  • Attention to Detail: Ability to spot inconsistencies in raw supplier spreadsheets and ensure data accuracy.
  • Process Adherence: Capable of following work instructions and maintaining accuracy in tasks.
  • Communication (Written & Verbal): Clear, professional outreach to multiple stakeholders.
  • Document Management: Experience with organizing, uploading, and naming documents.
  • Self-Starter: Able to work independently with minimal supervision, ensuring deadlines and responsibilities are met.

Education:

Minimum High School Diploma or GED required.

Experience:

At least 2 years of experience in an administrative role, including familiarity with administrative tools like Excel, SharePoint, and document management systems.
