Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant with 2-3 years of prior experience in the investment industry to support our team and ensure smooth day-to-day operations. The position of Administrative Assistant requires a wide variety of support functions, thus making a significant contribution to the success of the practice.
Responsibilities:
Provide administrative support to Financial Advisor and Practice Manager.
Manage calendars, schedule meetings, and coordinate client appointments.
Timely and efficient preparation of financial documents, reports, and client reviews.
Maintain and update client records in compliance with industry regulations.
Handle incoming correspondence, emails, and phone inquiries professionally.
Assist with compliance-related tasks and document retention.
Support client service functions, including account maintenance and follow-ups.
Coordinate office operations and maintain an organized workflow.
Qualifications & Skills:
2-3 years of experience in an administrative role within the wealth or finance management industry.
Strong knowledge of financial terminology, documents, and compliance procedures.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Excellent organizational and multitasking skills with strong attention to detail.
Professional communication skills, both written and verbal.
Ability to maintain confidentiality and handle sensitive information with discretion.
Experience with CRM systems and financial software is a plus.
Bachelor's Degree and FINRA 6 or 7 and Securities Licenses preferred.
