SUMMARY OF POSITION: The Administrative Assistant at the Trojan Learning Center (TLC) is the first point of contact for students, families, staff, and community members. This role supports the daily operations of the center through a wide range of clerical, secretarial, and administrative tasks-including enrolling Developmental Preschool (DPK) students and maintaining student records. The ideal candidate is professional, organized, detail-oriented, and capable of managing multiple responsibilities in a fast-paced environment. Strong communication skills, discretion, and a welcoming attitude are essential. This position plays a key role in creating a positive, efficient, and student-centered environment.
MINIMUM QUALIFICATIONS: - High school diploma or GED required; additional education or clerical experience preferred.
- Strong verbal and written communication skills.
- Ability to handle confidential and sensitive information with discretion.
- Proficiency in clerical tasks, such as answering phones, handling mail, and managing records.
- Familiarity with (or willingness to learn) relevant software, including Skyward and Google Workspace.

PRIMARY RESPONSIBILITIES AND DUTIES Front Desk & Communication: - Serve as executive/confidential secretary to the building administrator.
- Welcome and assist students, families, and visitors in a professional and courteous manner.
- Answer and direct phone calls and faxes, respond to inquiries accurately and efficiently
- Prepare and distribute internal and external mailings.
- Maintain updated administrative files, staff/student handbooks, and reference documents.
- Update TLC webpage and assist with social media communications.
- Develop working knowledge of all TLC programs to ensure accurate information and assistance.
Student & Academic Support: - Enroll and register Developmental Preschool students in Skyward.
- Monitor and track student attendance.
- Maintain documentation for students with IEPs and ILPs with the Office of Exceptional Learning.
- Coordinate with the Student Information Management System (SIMS) Coordinator to ensure accurate records in Skyward.
- Maintain and process cumulative student records, including record requests and updates
Administrative & Clerical Support: - Provide direct clerical support to the TLC administrator, including document preparation and communication
- Process timesheets and serve as the primary contact for TLC staff for payroll.
- Assist in the organization and proctoring of standardized assessments.
- Assist with maintaining and updating the Trojan Learning Center's webpage and communications.
- Submit maintenance requests via email and SchoolDude.
- Support onboarding meetings for Northwest Indiana Online School.
Additional Duties: - Assist the Academic Planner with entering schedules in Skyward during peak periods.
- Perform other duties as assigned to support the efficiency and effectiveness of the Trojan Learning Center and its programs

Equipment: This position requires maintaining a working knowledge of all classroom and office equipment. A basic understanding of operations for computers, printers, telephone systems, fax machines, and copiers is required.
Hours: This position is typically expected to work
8 hours per day and 216 days per year. Evening and Summer hours and days may be adjusted per the direct supervisor to ensure adequate coverage to meet the demands of the school and job.
