07/01/2025 The White Hall School District is seeking an Administrative Assistant for the Superintendent for the school year. Must have excellent communication skills, greet guests in a friendly manner and provide a welcoming environment.

Position Purpose:
Under the direct supervision of the Superintendent, to provide clerical and administrative assistance to school administrators and the Board of Directors conveying information regarding the districts policy and procedures; and supporting the district staff, students and the community. Monitor and maintain daily district data in both SIS Cycle Reporting and Standards for Accreditation to ensure accuracy and compliance with district policies and state regulations.

Essential Functions:
  • Liaison to the Board of Directors and the White Hall Community.
  • Must have strong telephone and interpersonal communication skills.
  • Maintain confidentiality at all times.
  • Responsible for organizing and preparing documentation for Board meetings and Special Called Meetings.
  • Prepare the monthly board agendas for the Superintendent and Board of Directors.
  • Take minutes at the Board meetings.
  • Book and organize travel arrangements for conferences and training for Superintendent and Board of Directors.
  • Schedule, organize and maintain Superintendent's calendar for meetings and conferences.
  • Maintain Board of Directors training hours.
  • Maintain Board of Directors Election timeline.
  • Prepare requisitions and purchase orders for the Superintendent.
  • SIS Cycle Coordinator - Compile and input data for monthly cycle reporting 2 - 7 cycle periods.
  • Prepare reports and distribute information to administrators to ensure accurate cycle data is reported.
  • Standards for Accreditation Coordinator - Monitor daily the district data to ensure we maintain accredited status.
  • Upload documentation monthly into the SIS and SFA portal for review.
  • Collaborate with the eSchool System Administrator, school administrators and staff to ensure current data is accurate in eSchool for cycle reporting.
  • Monitor eSchool Cognos reports for accuracy.
  • Post district job openings in Frontline software program and update data as necessary.
  • Coordinate Teacher of the Year nomination and application procedures for elementary and secondary teachers.
  • Triand Account Owner to assign permissions as needed.
  • Civil Rights Data Collection Coordinator - responsible for compiling and entering data districtwide and submit report.
  • Must have excellent communication skills with staff, administrators, Board of Directors and the community.
  • Work efficiently with others in a professional, competent and courteous manner.
  • Must have strong computer skills and easily adapt to various computer software programs.
  • Any other duties assigned by the Superintendent.
  • Pass State, FBI, and Child Maltreatment background checks.
