Administrative Assistant to the Superintendent -
This position is for the 2025-26 School Year with an official start date of July 1, 2025. (This date may be moved to June in order to provide a traingin period) Position Purpose Under the direct supervision of the Superintendent of Schools, to provide a wide variety of complex and confidential administrative and secretarial support to the Superintendent; communicating information on behalf of Superintendent to school district employees, parents, other school districts, public agencies, etc., ensuring compliance of Superintendent's office and Board activities with administrative requirements; and address a variety of issues and/or provide general support necessary to ensure efficient and effective school district operations.
Essential Functions:
- Greet the public.
- Refer all calls to appropriate parties & open and answer correspondence.
- Prepare new employee hiring packets and conduct background checks
- Assure that office supplies are ordered.
- Maintain file on out-of-district attendance students.
- Assist the bookkeeper and superintendent with: State and federal reports / Surveys
- Prepare monthly board packet, post public notice & agenda.
- After board meeting: Post minutes of all meetings on website, Prepare and send letters to personnel, Update vacancy notice, Update AppliTrack/Frontline
- Assist the transportation director.
- Maintain district job-description lists.
- Maintain personnel files and monitor certifications.
- Monitor IWAS notices, update SIS, and assist others with Skyward.
- Work with the Food Service Director to complete monthly claims.
- Schedule building rentals and print custodial schedule.
- Prepare checks for sports officials for home games from Imprest Account.
- Maintain & update Seniority List annually.
- Serve as recording secretary for the BOE.
- Update all ISBE Folders annually.
- Update PRESS Policy files after board updates.
- Keep MAC/PCG list update.
Additional Duties Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the Superintendent's office and school district operations.

Anticipated Salary The salary will be in the range of 39K-41K based on similar experience and will include full benefits.
Equipment Uses standard office equipment such as personal computer, copy machine, fax machine, telephone.
Travel Requirements Limited travel to and from meetings may be required.
Physical and Mental Demands, Work Hazards - Works in standard office and school building environments.

Qualification Profile - Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
- Graduation from high school.
- Associates degree with course work in business, word processing, office procedures and record keeping preferred.
- Shorthand or speed writing skills desirable.
- Successful experience of an increasingly responsible nature in public service, and executive administrative assistance or executive secretarial position
