Administrative Assistant to the Statewide Treasurer

JOB SUMMARY:

Under the direction of the Office Manager/Assistant to the President, the Assistant to the Statewide Treasurer performs a wide range of secretarial and administrative tasks, under limited supervision, to support the operation of the Executive Office.Starting Salary is $49,950

ESSENTIAL JOB FUNCTIONS:

  1. Provides secretarial support for the Statewide Treasurer and for the other Officers when needed.
  2. Answers and directs incoming calls for the Executive Offices.
  3. Opens, stamps, scans and logs incoming mail for the Statewide Treasurer.
  4. Maintains a filing system for Statewide Treasurer.
  5. Makes travel arrangements and maintains Statewide Treasurer's calendar in Outlook.
  6. Responsible for all correspondence generated by the Statewide Treasurer. Drafts and/or updates letters and memos for Statewide Treasurer's approval.
  7. Works with Finance Department on a daily basis as it relates to budgets, reports, etc.
  8. Provides secretarial support for the coordination of Officer Treasurer Trainings, which includes running reports, database management, coordinating with Regions for site setup, preparation of meeting notices, packing and inventory management of material to be distributed at trainings. Also responsible for processing and mailing training certificates and pins.
  9. Assists Region Presidents and other Officers of Locals/Units with questions, requesting expenditures, relaying messages to Statewide Treasurer and calling them back.
  10. Responsible for processing Political Action Rebates, Expense Vouchers, Local Claim Reimbursement Forms, and updating Treasurer's Board Report.
  11. Maintains Officer Honorarium data.
  12. Responsible for coordinating annual financial mailings with Central Files and the Communications departments.
  13. Logs all incoming Budgets (due October 1st). Sorts past years' budgets from recent budgets. Sorts Units from Locals and sends Unit reports to Local Treasurers. Sends Local Presidents postcards acknowledging receipt of budget.
  14. Other duties as assigned.
MINIMUM QUALIFICATIONS:

High School Diploma or Equivalency and two years' experience in the secretarial

field

AND

Ability to type at 40 words per minute.

Successful completion of tests administered by the Human Resources

Department.

Advancement to a Grade 4 upon completion of two years of satisfactory performance as a Grade 3.
