As a key member of the Special Education Department, the Administrative Assistant to the Director of Special Education helps create a welcoming culture for students and families and works closely with the Director of Special Education to ensure the day-to-day operations of the office run smoothly and efficiently. Primary responsibilities include answering the phone, managing mail and appointments in the Special Education Department, reporting, and maintaining student files.
Essential Duties and Responsibilities: - Daily review of state reports to ensure any errors are resolved timely.
- Prepares data/state reports as required, including Medicaid reporting quarterly; Coordinate with the HR Manager to ensure accurate Medicaid reporting related to staff roles within the district.
- Coordinate with the district Data Specialist to ensure timely and accurate data reporting.
- Coordinate Invoicing for CHOICE students with an IEP November and MAy each school year.
- Review data entered into CT SEDS platform for accuracy.
- Schedule PPT meetings for Director of Special Education and Supervisor.
- Complete release of information requests.
- Maintain records related to restraint and seclusion documentation.
- Obtain SPED records for students transferring into the district.
- Ensures student demographics in CT SEDS are accurate.
- Obtain a complete special education file for incoming students.
- Coordinate transportation needs for students with IEP/504 specialized transportation needs.
- Maintains & organizes special education files. This includes creating files, filing correspondence and keeping active vs inactive files current.
- Using Munis, create Purchase Orders as directed by the Director of Special Education.
- Verify receipt of purchased and sign off on invoices for payment through the Business Office
- Order supplies for the special education department.
- Arrange special transportation with vendors for both school year and ESY.
- Assist the Director of Special Education with ESY preparation.
- Coordinates with Child Find Screening requests.
- Prepare quarterly reports for Medicaid reporting and participant information.
- Records destruction.
- Provides back up coverage when needed for staffing the Central Office; including but not limited to phone, door, and walkie talkie coverage.
Qualifications: - High School diploma or general education degree (GED)
- Able to use google suite and other assigned software programs
- Able to use standard office equipment including but not limited to: computer, copy machines, scanners, and faxes.
Physical Demands: - Must possess the ability to stand, sit, and walk unassisted
- Must possess normal visual acuity, with or without corrective lenses, and depth perception
- May be required to lift up to 20 pounds

Work Environment: - Work indoors, moving between office spaces and other school areas.

Work Days: - 12-month employee
- Monday through Friday, following the school calendar and summer months
Work Scheduled: - Monday - Friday 8 AM to 4 PM during the school year, school break and vacation hours may vary.

- Hourly compensation $26.57 - $35.10, based on experience and the wage table in the current collective bargaining agreement
