Lafayette Building A vacancy exists for an Administrative Assistant to the Director of Business Services position to work within the Office of Business Services at the Montgomery County Intermediate Unit. The Administrative Assistant to the Director of Business Services performs secretarial, accounting, and related duties. This position supports the Business department by managing administrative tasks, supporting procurement and vendor communication, and assisting with reporting and compliance process.

Qualifications:
  • No post-secondary degree required; Associates/BS Degree in accounting preferred.
  • Minimum of 5-7 years of progressive experience in administrative support
  • Expertise (includes one or more of the following):
    1. Specialized skills in area to be able to work autonomously as proven through work experience.
    2. Very professional approach to their work that includes very strong customer service skills.
    3. Very Strong Technology skills, including extensive use of Microsoft applications as well as MCIU software
  • Ability to operate office equipment and use computer technology efficiently
  • Must be a proficient typist, know how to format business correspondence/reports, and must appropriately handle confidential information
  • Ability to work independently and make work-related decisions and exercise good judgement in prioritizing tasks
  • Original certificates of clearance from the State Police, Child Abuse Registry, and PDE FBI
Duties & Responsibilities:
  • Provide administrative support to the Business Office, including calendar management, meeting coordination, and document preparation.
  • Track department expenses and prepare purchase requisitions as needed.
  • Prepare reports, presentations, and documents as requested. Obtain signatures (electronic or hard copy) on a variety of documents, as needed.
  • Coordinate with vendors and service providers, as needed to support the work of both Offices.
  • Manage and prioritize incoming communications and maintain a comprehensive list of key internal and external contacts.
  • Annually gather key district information/documents, including but not limited to internal and external ethics statement forms, MCIU budget tally sheets, October 1 enrollment data, etc.
  • Help organize internal meetings, team events, and cross-departmental collaboration.
  • Prepare preliminary Board agenda for Office Director review.
  • Support the Right to Know process for the MCIU.
  • Support the data gathering for risk management insurance renewals. Submit risk management insurance claims as needed. Obtain certificates of insurance.
  • Conduct research or gather data to support MCIU initiatives and decision-making.
  • Provide accounting support, as needed.
  • Manage the registration process for various events. Support the preparation of these events. Attend and support the events onsite.
  • Maintain records, files, and databases relevant to MCIU operations.
  • Support Business Operations by taking cash deposits to the bank, as needed.
  • Maintain a positive working relationship with IU staff, district staff, Board Members, PDE, parents, government officials, and a wide variety of service agencies.
  • Provide back-up support and assistance to Recording Secretary to the Board of Directors.
  • Project a positive image of IU and its programs and services.
  • Serve as a back-up to other staff members as assigned.
  • Perform other related duties as assigned.
Location:
The MCIU office is located at 2 W Lafayette St. Norristown, PA 19401.

Work Schedule:
Monday - Friday, 7 hours/day, 12 months (260 - 262 days/year)

Pay Rate:
$30.18/hour - $35.50/hour
