ROLE AND PURPOSE: To serve as Administrative Assistant to the Chief Schools Officer of School Leadership.
QUALIFICATIONS: Education/Certification: - High School diploma or equivalent
- Some college hours preferred
Experience: - Five (5) years general clerical/administrative assistant experience or three (3) years educational administrative assistant experience
- Bachelor's degree may be substituted for required work experience
Knowledge and Skills: - Proficiency in general office skills; experience in data entry and word processing
- Capacity and skills to manage budget data
- Strong interpersonal skills, including conflict management
- Knowledgeable of district policies, procedures and have professional discretion concerning confidential matters.
MAJOR RESPONSIBILITIES AND DUTIES: I. ADMINISTRATIVE SUPPORT: - Serve as Administrative Assistant to the Chief Schools Officer of School Leadership.
- Receive and screen telephone calls.
- Maintain public relations with principals, teachers, co-workers and the public.
- Maintain daily and long-range appointment calendar.
- Assist in maintaining the Chief Schools Officer's district meetings on district calendar and communicating OSL meetings/events with district personnel.
- Type correspondence, memos, and take minutes of meetings as needed.
- Make travel arrangements as needed.
- Maintain office files.
- Submit printing requests related to specific job responsibilities.
- Maintain departmental budget.
- Manage budget for the Chief Schools Officer.
- Assist with purchase orders, warehouse orders, check requests, etc.
- Keep record of expenditures and needs for building new budgets.
- Maintain necessary information regarding personnel procedures and functions.
- Assist with staffing positions under the supervision of the Chief Schools Officer.
- Maintain file of applications; post positions as necessary; schedule interviews; prepare hiring forms.
- Prepare reports and guidelines of programs for which the Chief Schools Officer is responsible.
- Assist with producing and updating information for campus programs.
II. MISCELLANEOUS - Performs other duties as may be assigned by the Chief Schools Officer
III. WORKING CONDITIONS: MENTAL DEMANDS / PHYSICAL DEMANDS / ENVIRONMENTAL FACTORS: - Tools/Equipment Used: Standard office equipment including computer and peripherals; standard instructional equipment
- Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
- Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching
- Lifting: Occasional light lifting and carrying (less than 15 pounds)
- Environment: May work prolonged or irregular hours; occasional districtwide travel
- Mental Demands: Work with frequent interruptions; maintain emotional control under stress
