GENERAL RESPONSIBILITIES: FLSA: Hourly

Supports District schools and principals in their effort to foster an optimal educational environment for students. Provide administrative support in the District Office primarily to the Chief Financial Officer and the Director of Finance.

MAJOR TASKS :

Reconciles district student membership information to state reports for budgeting purposes and follows up with ADE staff and District Technology Department to make corrections.
    • Reviews district student membership data for accuracy & follows up with school office staff to correct student data errors.
    • Provides staff updates regarding changes in ADE reporting procedures, requirements, etc.,
    • Prepares and disseminates weekly enrollment reports to cabinet.
    • Prepare other student membership reports as requested.
    • LEA contact.
Property and liability insurance
  • Processes and tracks property and liability insurance claims.
  • Submits incident reports to carrier.
  • Carries out other administrative tasks regarding insurance.
Other
  • Prepares month end reports; review and write agenda items for Governing Board meetings.
  • Processes facility use revenues.
  • Coordinates the District's Transportation Reduction Program.
  • Provides clerical support to Chief Financial Officer and Director of Finance.
  • Coordinates finalizing vendor contracts, intergovernmental agreements, etc., and maintains contract files.
  • Maintains files for the Chief Financial Officer.
  • Answers phone and opens mail.
  • Performs other duties and assumes additional responsibilities as assigned.
  • Maintains department website for Operations & Finance.
  • Performs backup duties for other District Office Admin. Asst.
QUALIFICATIONS:
  • High school graduate with additional college courses and/or secretarial training.
  • One year of administrative assistant experience.
  • Ability to type accurately and use word processors.
  • Proficient in use word processing and spreadsheet software.
  • Effective interpersonal and communication skills.
