General Description: The Administrative Assistant will support the CEO/CFO with various administrative, scheduling, and accounting-related tasks. This position requires a proactive individual with excellent communication skills, strong attention to detail, and the ability to manage multiple responsibilities in a dynamic environment.

Key Responsibilities:
  • Perform general administrative duties, including accurate and timely data entry across various platforms and systems.
  • Schedule and coordinate appointments, meetings, and conference calls to ensure effective calendar management for the CEO/CFO.
  • Support accounting functions by:
    • Coding transactions according to the chart of accounts.
    • Setting up and maintaining records for vendors, employees, and consultants.
    • Performing routine bookkeeping tasks and account reconciliations.
    • Preparing and sending client invoices.
    • Managing accounts receivable and following up on outstanding payments.
    • Preparing payment requests and backup documentation.
  • Draft consultant contracts and third-party agreements.
  • Assist with internal and external communications as needed.
  • Support additional administrative and clerical duties as assigned
Qualifications:
  • Proven experience in an administrative or office support role.
  • Basic knowledge of accounting principles and financial processes.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and accounting software (e.g., QuickBooks, or similar).
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Strong interpersonal and communication skills.
Preferred Qualifications:
  • Associate's degree in Business Administration, Accounting, or a related field. Bachelor's degree preferred.
  • Experience working in a fast-paced, multi-disciplinary environment.
