General Description: The Administrative Assistant will support the CEO/CFO with various administrative, scheduling, and accounting-related tasks. This position requires a proactive individual with excellent communication skills, strong attention to detail, and the ability to manage multiple responsibilities in a dynamic environment.
Key Responsibilities:
- Perform general administrative duties, including accurate and timely data entry across various platforms and systems.
- Schedule and coordinate appointments, meetings, and conference calls to ensure effective calendar management for the CEO/CFO.
- Support accounting functions by:
- Coding transactions according to the chart of accounts.
- Setting up and maintaining records for vendors, employees, and consultants.
- Performing routine bookkeeping tasks and account reconciliations.
- Preparing and sending client invoices.
- Managing accounts receivable and following up on outstanding payments.
- Preparing payment requests and backup documentation.
- Draft consultant contracts and third-party agreements.
- Assist with internal and external communications as needed.
- Support additional administrative and clerical duties as assigned
Qualifications:
- Proven experience in an administrative or office support role.
- Basic knowledge of accounting principles and financial processes.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and accounting software (e.g., QuickBooks, or similar).
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Strong interpersonal and communication skills.
Preferred Qualifications:
- Associate's degree in Business Administration, Accounting, or a related field. Bachelor's degree preferred.
- Experience working in a fast-paced, multi-disciplinary environment.
