QUALIFICATIONS: - High School diploma
- Advanced typing, filing, and computer skills
- Excellent verbal and written communication skills
- Strong organizational skills and ability to work accurately with details and records
- Two years of post-secondary training and five years job experience as a secretary, or graduation from a recognized school of secretarial skills and two years of job experience, or five years successful employment as a school secretary within this District or in another district of comparable size
PERFORMANCE RESPONSIBILITIES: To assist and relieve administrative supervisor of paperwork and impediments so that the administrator may devote maximum attention to the central problems of curriculum and instruction. The secretary will:
- Transcribes and/or composes some correspondence for the Curriculum Department.
- Welcomes visitors and assist with any questions related to curriculum, instruction, or professional development.
- Obtains, gathers, and organizes pertinent data as needed, and puts it into usable form.
- Orders educational materials (textbooks, consumables, teacher guides) for new classrooms or to refresh as needed.
- Assists with ordering and management of digital licensing tools.
- Communicates and manages curriculum inventory as well as keeps the book room organized.
- Tracking shipments and communicating with school office staff and district maintenance department regarding distribution of materials.
- Tracks vendors including salespeople, PD coordinators, and business department.
- Prepares information relating to curriculum and budget matters.
- Provides clerical support to curriculum coordinators and director/assistant director of biliteracy with meeting notices, room assignments, supply ordering, Frontline assistance, and organization of time sheets.
- Maintains necessary files, and processes correspondence.
- Handles telephone calls, and records messages.
- Orders and maintains supplies as needed.
- Maintains a schedule of appointments and makes arrangements for conferences and interviews.
- Enrolls staff in professional development conferences and ensures invoices are paid.
- Assists in preparation for meetings, in-services and conferences.
- Coordinates meeting and staff development locations, including room assignment, food, tech equipment, and print materials.
- Manages staff enrollment, course description, attendance tracking, and awarding CPDUs for Frontline: Professional Development tool.
- Troubleshoots purchase order problems with vendors, maintenance department, and business office when necessary.
- Maintains and supports shared drives and/or folders in regard to documents for the Teaching & Learning Department.
- Assumes such other duties and responsibilities as assigned by the Assistant Superintendent of Teaching and Learning.
TERMS OF EMPLOYMENT: Twelve-month year with salary to be established by the Board of Education. (Salary range $40,000-$45,000)
EVALUATION: The Assistant Superintendent of Teaching and Learning will serve as the evaluator incorporating performance goals.
