Administrative Assistant to SuperintendentPosition Overview: Killingly Public Schools is seeking a highly skilled and professional Administrative Assistant to support the Superintendent of Schools. This individual will play a crucial role in providing administrative support, managing communications, and assisting with the development and execution of Board policies. The ideal candidate will possess strong organizational skills, a high level of confidentiality, the ability to navigate sensitive and confidential information, and always be a consummate professional. Additionally, the candidate should be proficient in managing social media platforms and supporting the district's public relations efforts.
This is a full-time, 12-month position with an 8-hour workday and a competitive salary of $65,230.00, including a comprehensive benefits package.
Key Responsibilities: - Provide high-level administrative support to the Superintendent, including scheduling meetings, preparing reports, and handling day-to-day tasks.
- Act as a liaison between the Superintendent, Board of Education, district staff, and the public, ensuring effective communication and prompt responses.
- Draft, edit, & maintain Board policies and assist in implementing and updating policies as needed
- Maintain and organize confidential and sensitive documents, ensuring proper handling and security.
- Responsible for preparing, maintaining, and filing state reports.
- Manage and track records related to Board policies, meeting minutes, and district correspondence.
- Assist in the preparation and distribution of Board meeting agendas, minutes, and supporting documents.
- Coordinate Board meeting logistics, including virtual or in-person meetings, and manage follow-up actions as necessary.
- Assist with social media platforms (Facebook, Twitter, Instagram, etc.), creating content, posting updates, and monitoring district communications to ensure consistency with district goals and priorities.
- Provide support with media relations and community outreach, ensuring positive representation of the district across various platforms.
- Respond to inquiries from district staff, parents, and community members in a professional and timely manner.
- Maintain a comprehensive filing system and ensure accurate recordkeeping.
- Perform other related duties as assigned by the Superintendent.
Qualifications: - Associate degree in Office Administration, Communications, Public Relations, or a related field (Bachelor's degree preferred).
- Minimum of 3 years of experience in an administrative support role, preferably in a school district or government setting.
- Strong understanding of confidentiality protocols and ability to handle sensitive information with discretion.
- Excellent written and verbal communication skills with a high level of attention to detail.
- Proficient in social media platforms (Facebook, Twitter, Instagram, etc.), including content creation and engagement.
- Experience with Microsoft Office Suite, Google Workspace, and other office productivity software.
- Ability to manage multiple tasks and priorities effectively, with strong organizational and time-management skills.
- Demonstrated ability to work independently and collaboratively in a fast-paced environment.
- Previous experience with Board policies, school district governance, or public relations is a plus.
Additional Responsibilities: (Additional Stipend of $300 per meeting) - Attend BOE meetings to take minutes, typically held two evenings per month, along with meeting preparation and follow-up.
- Candidate must have Familiarity with public meeting protocols and the ability to navigate sensitive situations with professionalism is highly desirable.
