Essential Duties and Responsibilities:
  1. Represent the CNO, and the hospital in a professional and congenial manner in person, in telephone conversations and in written correspondence.
  2. Composes letters and statements independently requiring application of hospital policies, rules and regulations and monitors follow-up for all distributions that require responses.
  3. Primary contact for department managers, staff and outside parties as it relates to the COO and CMO and hospital.
  4. Manages projects for the Executive Team and Leadership Team.
  5. Screens telephone calls and visitors, ascertaining who can be redirected to subordinate managers or other offices.
  6. Maintains files of administrative and hospital matters that are extremely confidential in nature. Such as, hospital contracts, regulatory compliance, physician complaints, joint commission, IDPH, etc.
  7. Prepares documentation for the CNO for all hospital related events, where error could have significant effects on cost, such as, typing, proofing and assembling reports or proposals.
  8. Takes and reviews minutes during highly confidential meetings that would have negative impact on the hospital if shared beyond its intended audience.
  9. Makes phone calls on behalf of the CNO when instructed.
  10. Helps resolve patient and employee disputes when necessary by contacting the appropriate hospital personnel.
  11. Serves as a resource for the hospital.
  12. Makes travel arrangements for hospital related functions.
  13. Assists CNO with acknowledging gifts and contributions to the hospital and in performance of employee relation functions. Such as, sending flowers in case of illness or death, sending out cards, etc.

Other Responsibilities:
  1. Work requires thorough knowledge of CNO's responsibility and general knowledge of company policies, procedures and operations as well as oral communication skill to perform administrative duties of high complexity, such as arranging meetings without clearance, responding to inquiries from customers and company personnel, and assembling reports containing confidential information.
  2. Adheres to downtime procedures.
  3. Adheres to established departmental policies, procedures, and objectives.
  4. Performs both essential and non-essential job functions in a safe manner as identified by Humboldt Park Health.
  5. Demonstrates an understanding of and models the mission and core values of Humboldt Park Health.
  6. Enhances professional growth and development by accessing educational programs, job related literature, in-service meetings, and workshops/seminars.
  7. Performs other related duties as assigned.

Requirements:

5-7 years of experience.

Associate's degree or equivalent

Proficient in Microsoft Office.
