This position plays a crucial role in supporting both the CEO and broader leadership team while ensuring smooth day-to-day office operations. This role offers an hourly rate of $19 to $23/hour, based on experience, with the opportunity to convert to a permanent position after a successful probationary period.

You'll help manage complex calendar scheduling, plan meetings and events, support communications, and assist across departments. This position is based on a site in the Buffalo/Western New York area.

Responsibilities:
  • Provide direct administrative support to the CEO and executive team, managing one primary calendar and cross-referencing five others.
  • Schedule and coordinate meetings across departments, balancing multiple schedules and factoring in travel time between locations.
  • Prepare agendas and materials for meetings; take meeting minutes and follow up on action items.
  • Draft internal communications and announcements on behalf of leadership.
  • Coordinate logistics for team events, staff trainings, and in-office meetings.
  • Assist with onboarding support including preparation of new hire orientation binders.
  • Maintain confidential records, folders, and digital documents with accuracy and security.
  • Monitor and manage various requests from internal departments, ensuring timely follow-up and task completion.
  • Run occasional local errands for office needs or meetings (e.g., lunch, birthday cakes); mileage reimbursed.
  • Jump in to help with miscellaneous administrative projects and tasks as needed.
Qualifications:
  • Associate's degree required; Bachelor's degree preferred.
  • 2+ years of administrative experience, ideally supporting executive leadership.
  • Strong proficiency in Microsoft Office Suite, especially Outlook for calendar management.
  • Experience with EMR systems is a plus, but not required.
  • Comfortable working in a dynamic office setting where multitasking and problem-solving are essential.
  • Excellent communication skills and professional demeanor.
  • Discretion and confidentiality are a must.
