Description

Provide administrative and project support for the Division of Student Affairs with a focus on administrative assistance to the Vice President for Student Affairs; and as needed, other Student Affairs and Enrollment Management leadership. This role includes a high degree of office management skills and communication with internal and external constituents. There is an expectation of support for coordination of special projects and events. A strong organizational capacity and the maintenance of confidential information are necessary.
Qualifications
  • High school diploma or equivalent and three years Administrative Assistant or related experience.
  • Ability to represent the college well with excellent hospitality and customer service skills.
  • Work manner that is proactive, positive, and attentive to detail.
  • Strong computer comfort and skills with Microsoft Office 365 suite and Microsoft Outlook.
  • Ability to manage multiple budgets navigate the college's financial management systems.
  • Ability to simultaneously manage multiple priorities and assignments.
  • Strong communication skills, including drafting routine communications and taking meeting minutes.
  • Sensitivity to confidential matters and records.
Major Responsibilities/Duties
  • Serve as the primary point of contact for the Student Affairs suite and provide a high level of customer service to students, staff, faculty and other constituents with professionalism and confidentiality.
  • Assist in the management of the Vice President's calendar and scheduling of meetings, appointments, and travel engagements.
  • Take notes and minutes in official Student Affairs and Enrollment Management meetings.
  • Manage special projects and assignments as outlined by the VP.
  • Interact professionally and courteously with all levels of college constituents and work collaboratively with others to gather needed information to fulfill assignments.
  • Execute business office operations tasks such as reconciling purchase card receipts, ordering office supplies, and oversight of office and institutional memberships and sponsorships in local and national associations and networks.
  • Assist in managing departmental budgets for the Vice President for Student Affairs, regularly track expenditures and maintain accurate detailed records of budget expenditures. Provide high level support and oversight for divisional budgets.
  • Utilize department or college policies, procedures, and practices to answer routine inquiries, and resolve concerns.
  • Provide event coordination and support for Student Affairs divisional meetings and events as directed by the VP.
  • Assist in drafting official reports, presentations, and other official communications as directed by the VP.

362 PART-TIME EMPLOYEE PRIVILEGES

Definition.

A part-time adjunct faculty member is employed at less than 75% time annually and teaches at least one credit hour or more.

A part-time staff member is employed at less that 75% time annually. The employment time is three continuous months at an average of 15 hours a week.

Student hourly employees are exempt from the part-time privileges of this policy.

Privileges.

Upon authorization by the hiring department, part-time employees as defined under this policy will be issued a Snow College Part-Time Staff/Faculty Identification Card at the time of hire. The card entitles the holder to all of the privileges associated with a Full-Time Staff/Faculty Identification Card including, but not necessarily limited to, general admission or discounted prices for athletic and cultural events; Snow College library card issuance; computer network, Web, and e-mail access; bookstore sponsored discounts; and other discounts associated with the ID card at either campus. Supervisors have the right to terminate the privileges at any time during the fiscal year.

Non-inherent Privileges.

Privileges of full-time employees such as, but not necessarily limited to, college parties or gatherings, professional development activities, office/computer/telephone access, current expense budgets may be provided to part-time employees only at department discretion.
