Canterbury Court is looking for an Administrative Assistant to join our family.

The Resident Services Administrative Assistant must have a sincere desire to serve older adults in a quality continuing care retirement community. Being responsive to the changing needs of Residents, the Assistant must provide caring support and strive to provide service that is in line with Canterbury's mission and level of excellence.

The Resident Services Administrative Assistant is responsible for bringing all residents, staff, and guests to the Wellness Center desk. The Resident Services Administrative Assistant is also responsible for performing assigned duties in a manner that positively reflects Canterbury Court, with an emphasis on communication between residents and staff.

Requirements

A. Administrative Duties:

1. Recognize, set, and follow priorities of his/her job.

2. Perform routine duties with minimal supervision but seek guidance as necessary.

3. Is responsible for posting, updating, and deleting information in the Canterbury app.

4. Enters work orders into the Worxhub system pertaining to Housekeeping, Maintenance, or IT requests made by staff, residents, and guests.

5. Upload full-page notices to digital signage.

6. Sends monthly resident birthday list to Assisted Living Coordinator, Pastoral Care, Canterbury Tales Editor, and Transportation Coordinator.

7. Send all resident billing charges to Accounting for processing by the last week of each month.

8. Provides administrative support to the Wellness, Pastoral Care, and Security departments.

9. Participates in yearly Resident Services and Wellness surveys by tallying and reporting results.

10. Create monthly class participation sign-in sheets. Creates trip and class sign-in sheets, maintaining them at the Wellness Center desk and posting and updating on the Canterbury app.

11. Creates posters and notices for events at least 5 days in advance of an event and submits them to the Resident Services Director for review.

12. Maintains current information for Channel 1 including the daily schedule of events and birthdays.

13. Maintains and distributes phone and apartment lists monthly via Canterbury Notifications and as requested.

14. Order supplies for staff as requested, maintaining and submitting a log of department charges to the Resident Services Director.

B. Communication:

1. Receives incoming telephone calls through a multi-line phone system and addresses or transfers calls to the appropriate person/department. Maintains confidentiality.

2. Understand and interpret the resident population information contained in bulletins, memos, and verbal instructions given by the Directors, as approved by the CEO, CHRO, or Administrator.

3. Assures Wellness Center desk and bulletin board information are kept up to date.

C. Guest Services:

1. Assists residents with:

a. the use of the Business Center machines.

b. mailing packages, printing labels, and scheduling pick-ups from FedEx, DHL, UPS, etc.

c. Uber, Lyft, and other ride-share platforms; grocery shopping and delivery as needed.

d. logging onto Zoom meetings if requested.

e. signing up for transportation, trips, and off-campus events.

2. Works closely with Resident Council committees, the 4C's store, and residents to produce and print requested items.

D. Facility:

1. As needed, responds to emergencies; maintains confidentiality and notifies the appropriate management and personnel.

2. Responds appropriately to the fire alarm system and is familiar with fire drill and evacuation procedures.

3. As assigned, monitors Emergency Weather Radio and communicates weather warnings per policy.

4. Must follow facility policies and procedures and encourage other staff to do the same.

D: Other Duties as Backup:

1. Performs "side work" as assigned by the Director and Assistant Director of Resident Services, CEO, and CHRO.

In the absence of the Concierge :

a. Delivers packages, groceries, and perishable items to residents in a timely manner.

KNOWLEDGE, SKILLS AND ABILITIES:

1. The Resident Services Administrative Assistant must be able to make mature judgments and decisions within the scope of assigned duties, demonstrate the ability to assume responsibility without direct supervision, and exercise initiative.

2. Must report to the Director of Resident Services when making decisions for the corporation in the line of service duty that may be deemed a "critical matter."

3. Must maintain confidentiality and observe standards of protected health information with all sensitive and protected resident and staff information.

4. Must possess strong organizational and follow-up skills with attention to detail and the ability to handle multiple job responsibilities efficiently.

5. Computer and Word processing skills are essential and must be strong.

6. Have the ability to interact effectively and pleasantly with residents, staff, guests, and vendors.

7. Must present a positive image of Canterbury Court to all.

QUALIFICATIONS:

1. High School Diploma required.

2. Ability to communicate clearly in English/ Read and write correctly in English.

3. Minimum of one year in a customer service-related field; preferably in an older adult setting.

4. Knowledge of and competency in all Microsoft Word programs including Publisher.
