Nature of Work
This is responsible administrative and office support work for the Court Services Office. Work involves performance of a variety of duties requiring judgment based on knowledge gained through experience in procedures and responsibilities. Work is performed according to standard procedures or general rules. Employees in this class work under supervision of the department heads, but ordinarily proceed on their own initiative and carry work to completion.

Essential Functions
Greets, screens and directs callers and visitors; answers varied inquiries; explains policies and procedures; and arranges appointments and interpreter services as needed. Edits, and prepares correspondence, reports, emails and other documents in accordance with standard policies. Efile reports to the Court as requested. Administers and scores Domestic Violence Inventories. Receives intake referrals from court and obtains pertinent data from clients. Works closely with probation agents in managing time sensitive tasks.

Maintains certification to run criminal records in NCIC/BCA systems. Obtains prior records for probation reports according to policy.

Maintains electronic filing systems so that pertinent information is easily accessible and complete.Enters and updates data for client information and forms into probation database system.

Processes incoming and outgoing mail so that information and requests are received on time. Uses general office equipment as required. Maintains office supply inventories.

Coordinates the Adult and Juvenile Community Service Program. Establishes worksites for referrals and list of options for clients. Maintains work relationship with site supervisor. Sends referrals for client to worksites, schedules and monitors client progress. Tracks hours and enter into database. Reports success, failure and violations to probation agent.

Performs bookkeeping and purchasing duties related to office of assignment. Prepares and maintains relatively complex fiscal, administrative and general records. Compiles data for administrative analysis, questionnaires and public reports. Performs other work as required.

Responsible to observe all Watonwan County safety and health rules and to apply the principles of accident prevention in day-to-day duties.

Desirable Qualifications

Training and Experience
Requires high school diploma or equivalent, with preference given for applicable post-secondary education. Requires clerical and public contact/customer service experience or training. Data entry experience preferred.
Knowledge, Abilities and Skills
Requires advanced clerical skills, including computer proficiency, keyboarding and filing. Considerable knowledge of modern office practices, procedures, systems, equipment and word processing software. Considerable knowledge of English, spelling, vocabulary and arithmetic. Requires the ability to utilize interpretive services such as Google Translate and Language Line. Considerable knowledge of department operations and organization, or the ability to acquire such knowledge in a short period of time.

Ability to communicate well orally and in writing. Ability to compose effective and accurate correspondence from general instructions, or to handle correspondence at own discretion. Ability to process and maintain complex financial or other records. Ability to establish and maintain effective working relationships with employees, community groups and the general public. Ability to effectively handle public relations issues.

Requires manual and finger dexterity to accurately and efficiently operate required equipment. May require ability to sit or stand for extended periods of time. May require ability to climb ladders or ability to lift up to 30 pounds.
