The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. From scheduling client meetings, to communicating with courts and other third parties, you will be responsible for completing multi-level tasks in a professional and timely manner.


Responsibilities

  • Answer phones and direct calls with a positive attitude and an energetic work ethic
  • Provide office guests with a hospitable experience
  • Assist in scheduling phone calls and meetings with clients and potential clients
  • Assist with setting up requests for dial-ins, zoom meetings and making conference room presentable, etc.
  • Order office supplies
  • Pick up mail daily and scan to system, including adding court hearings to calendar when a notice of hearing is received; otherwise assisting attorney with managing calendar
  • Forwarding scans of mail as directed by Office Manager
  • Assisting as requested in other tasks including getting correspondence to clients, courts and others, contacting courts to check staus of pending cases, etc.

Qualifications

  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Excellent written and verbal communication skills
  • Ability to multi-task, organize, and prioritize work
  • Attention to detail
  • Prior law firm experience required unless the candidate has similar experience working in an office setting; letters of reference regarding prior experience are required
