Position Summary

Provides secretarial assistance and support to the department director and department employees under limited supervision. Facilitates effective communication throughout the department by assisting with meetings, minutes, reports, filing, and organization of department and unit activities.

Position Specific Responsibilities
  • Types, composes and proofreads correspondence.
  • Answers phone, screens calls, refers callers/visitors to appropriate destination.
  • Processes incoming and outgoing mail daily: sorts and prioritizes correspondence.
  • Schedules and coordinates meetings and appointments.
  • Maintains files and equipment and orders office supplies for Director and unit managers.
  • Assists with development and implementation of projects for all departmental units.
  • Attends meetings as assigned and report actions.
  • Participates in education in-services and programs.
  • Makes travel arrangements when necessary.
  • Assists the department unit managers with processing mail, correspondence, maintaining records and files, scheduling and providing minutes for meetings, and assistance with departmental projects.
  • Maintains billing processes for any contracted services within the department.
  • Assists unit managers in collection and entering of data required for monthly Director reports.
Education and/or Experience
  • Preferred - Associate's Degree Business/Medical field Or
  • Preferred - Bachelor's Degree Business/Medical field.
  • Required - 1 year Secretarial experience.
  • Preferred - Secretarial experience in health care organization.
Skills
  • Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage.
  • Mathematical Skills: Accuracy in use of basic math to make calculations, balance and reconcile figures.
  • Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from leaders, team members, investors, and external parties. Strong written and verbal communications.
  • Language Skills: Ability to understand, read, write, and speak English. Articulates and embraces integrated healthcare at home philosophy.
  • Language Skills: Accurate grammatical usage, spelling, and punctuation in processing all correspondence.
  • Language Skills: Effective written and verbal communications.
  • Computer Skills: Typing skills (minimum of 60 wpm).
  • Computer Skills: Utilizes various computer software programs.
  • Other Skills and Abilities: Knowledge of organizational policies, procedures and systems.
  • Other Skills and Abilities: Ability to work effectively with staff, visitors, and external entities.

Physical Demands and Work Environment: The demands of this role necessitate a team member to effectively perform essential functions. Adaptations can be made to accommodate team members with disabilities. Regular standing, walking, and manual dexterity are fundamental, along with the ability to lift and move objects up to 25 pounds. Visual acuity requirements include close and distance vision, color and peripheral vision, depth perception, and the ability to adjust focus.
