Senior Administrative Assistant (West Sacramento)

Are you an organized and detail-oriented professional seeking a dynamic role in an executive office? LHH is partnering with a non-profit organization in West Sacramento, CA to find a Senior Administrative Assistant.

This direct hire position offers crucial administrative support to the Executive Office, including staff, officers, and various committees. In this role, you will coordinate executive meetings and events, manage the nomination and election process for leadership, distribute contracts and quotes, and serve as the primary point of contact for inquiries from members and vendors.
Key Responsibilities:
  • Provide administrative support to the Executive Office, including staff, officers, the Board of Directors Delegate Assembly, and committees.
  • Coordinate executive meetings and events, both in-person and virtual, for boards and/or committees.
  • Manage activities such as calendar scheduling, travel arrangements, logistics, and preparation of meeting materials for the Board of Directors or executive staff.
  • Process and track paperwork, contracts, and documentation.
  • Coordinate meeting logistics, including room reservations, food and beverage arrangements, and A/V-IT setup.
  • Serve as the first point of contact for inquiries from members and vendors.
  • Distribute contracts and quotes as needed.
Ideal Qualifications:
  • Experience with executive meeting and event planning and facilitation for both in-person and virtual settings for boards and/or committees.
  • Ability to coordinate activities such as calendar management, travel arrangements, logistics, and preparation of meeting materials for a Board of Directors or executive staff.
  • Proficiency in processing and tracking paperwork, contracts, and documentation.
  • Experience in coordinating meeting logistics, including room reservations, food and beverage arrangements, and A/V-IT setup.
  • Excellent written and oral communication skills.
  • Techniques for providing a high level of customer service.
  • Experience with travel arrangements and the reimbursement process.
  • Experience working with a hybrid team.
  • High attention to detail with processes and procedures.
  • Experience in Non-Profit or Schools and Education industries is a significant plus.
Job Type: Direct Hire
Salary: $43,000.00 - $64,500.00
Benefits: CalPERS
Hours: Full-time, regular business hours. Hybrid schedule (2 days on-site, 3 days remote per week)
