Position Summary

The Administrative Assistant for the Office of the Provost plays a vital role in supporting academic operations and faculty processes. Reporting to the Executive Assistant to the Provost and the Vice Provost for Academic Innovation and Learning, this co-supervised position provides administrative and organizational support to ensure the efficient functioning of the Office of the Provost.

Key responsibilities include assisting the Vice Provost for Academic Innovation and Learning with faculty-related initiatives, coordinating administrative tasks, and facilitating communication across academic departments. The Administrative Assistant frequently interacts with students, faculty, and staff, as well as various Academic Affairs offices, College departments, and external partners, fostering a collaborative and dynamic environment.

Required Qualifications
  • Bachelor's degree that must be conferred by the start date of the position.
  • Minimum of 4-6 years of administrative support work experience required.
  • Project management training preferred, but not required.
  • Proficiency with event planning and communications is highly desirable.

Administrative Expertise - Strong organizational, planning, and multitasking abilities with the capacity to manage confidential and time-sensitive information effectively.

Technology Proficiency - Skilled in Morehouse College's technology platforms, including Banner, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams). Ability to navigate and utilize institutional systems for faculty processes, scheduling, and communication.

Communication & Collaboration - Excellent written and verbal communication skills. Ability to interact professionally with faculty, staff, students, executives, and external partners while maintaining discretion and tact.

Event & Meeting Coordination - Experience in scheduling, organizing, and facilitating meetings, orientations, and workshops, including the use of virtual conferencing tools such as Zoom and Microsoft Teams.

Problem-Solving & Initiative - Ability to anticipate challenges, proactively address concerns, and collaborate across departments to support academic operations.

Financial & Budget Oversight - Familiarity with budget tracking and expenditure monitoring, ensuring compliance with institutional policies.

Commitment to Academic Excellence - Understanding of faculty lifecycle processes, academic governance, and institutional policies, contributing to a supportive academic environment.

Essential Duties/Responsibilities

Essential Duties/Responsiblities

Support Academic Innovation and Learning Initiatives
Provide comprehensive administrative support to the Vice Provost for Academic Innovation and Learning, facilitating faculty assessment processes and academic initiatives. Responsibilities include:
  • Assist with managing faculty records
  • With direction of the Vice Provost and Executive Assistant, manage hiring procedures for Adjunct Faculty
  • Coordinating meetings and events
  • Arranging conference calls and conferences
  • Tracking budget expenditures
  • Communicating College policies and procedures to faculty, staff, and students,
  • Assisting with orientations and workshops.
Administrative Support for the Office of the Provost
Collaborate with the Executive Assistant to the Provost and the Administrative Assistant for Academic Success to ensure the smooth operation of daily administrative functions. Duties include:
  • Handling confidential and time-sensitive materials
  • Drafting and preparing routine and advanced correspondence (e.g., letters, memoranda, and reports)
  • Planning and attending key meetings with internal and external stakeholders
  • Ensuring office supplies are monitored

Serve as the First Point of Contact for Office Visitors
Alongside the Administrative Assistant, warmly welcome and professionally represent the Office of the Provost to faculty, staff, students, executives, and external partners. Maintain discretion, tact, and a high level of confidentiality in all interactions.

Proactively Address Office of the Provost Issues
Identify and resolve potential challenges within the Office of the Provost before they arise. Work collaboratively across departments to ensure key individuals and offices are engaged in necessary decision-making and discussions.

Other Duties
Perform additional tasks and special projects as assigned by the Executive Assistant to the Provost, the Vice Provost for Academic Innovation and Learning, or the Provost.
