POSITION: Administrative Assistant

LOCATION: Lebanon, PA - Corporate Office

JOB QUALIFICATIONS
  • Significant experience using MS Office, specifically: Word, Excel, and Power Point
  • 5 or more years related secretarial experience in a fast-paced office environment; able to type 50+wpm
  • Able to handle confidential material and detailed reports
  • Maintain all policies and procedures as standard operating procedure(s) dictate
  • Maintain "helpful" attitude/demeanor as is expected with any position within our company
  • Able to make decisions effectively and work without supervision
  • Must possess excellent and effective communication skills
  • Good organizational and strategic planning skills; Able to complete basic math problems
  • Valid drivers license; ability to use personal transportation is preferred
  • Able to occasionally lift up to 50 lbs.
  • Working knowledge of basic office equipment (ex: multi-use copier/scanner/fax, printers, laminator, etc.)
RESPONSIBILITIES
  • Prepare and distribute confidential documents, training materials, meeting minutes, letters and memos
  • Update price & policy documents, prepare and distribute holiday & monthly sales/marketing materials; production and distribution of store signage (loose flowers, menu/holiday arrangements, special store hours, etc.)
  • Prepare monthly Manger's Meeting materials (booklets, agendas, etc.); attend monthly Manager's meeting
  • All details regarding yearly Employee Staff Meeting; prepare materials for In-Store Staff meetings
  • Update/maintain mailing lists and prepare/administer seasonal mailings
  • Help coordinate production of corporate calendar, vacation calendar, and other similar documents
  • Assist in the preparation of holiday planning materials for Central Design, Distribution, etc.
  • Prepare and distribute Inventory paperwork as directed; Accurately enter data into spreadsheets
  • Set up and maintain filing systems; keep Administration Office area neat and free of clutter
  • Keep sensitive information confidential
  • Professionally greet/direct visitors and incoming calls
  • Distribute, maintain, purchase, redesign, etc. employee birthday cards and anniversary banners
  • Communicate information to central divisions/retail stores as needed via telephone and/or e-mail
  • Help cut costs of Central Divisions and Retail Stores by purchasing office supplies, printing, etc.
  • Perform assigned duties from other Central Divisions, as needed
  • Administer and correct Sales Tests; Spearhead all aspects of Mystery Shopper tests; Assist in preparing materials for Sales, MIT, and Design Training curriculum
  • Perform monthly and annual drivers' records checks and administer driver safety incentive program
  • Hire production employees for major floral holidays
  • Is an active member of the Company's Safety Committee, including performing regular inspections and maintenance of Right to Know program
  • Assist in annual and new hire insurance enrollment
  • Assist retail stores and central divisions during floral holidays
  • Other duties as assigned
SALARY Hourly - Commensurate with experience

SCHEDULE 28-32 hours/week, typically Monday through Friday, with additional hours and days as necessary during floral holidays and/or other busy times
