Description


The West Orange Chamber of Commerce is seeking a full-time (hourly-pay) Administrative Assistant. This position will provide administrative and clerical support by handling tasks such as data entry, organization of files, greeting visitors, and event support.


Primary Responsibilities and Duties


Greet walk-in guests and notify appropriate staff members

Opening mail, and logging of checks

Scanning Documents as requested

Send weekly email communications to members via MailChimp

Calendar Management, i.e. Conference room scheduling, Office maintenance scheduling, etc.

Maintaining inventory of, and ordering, office supplies and equipment

Perform general office duties, clerical assignments and other duties as assigned


Assist Membership Department with:

Monthly mailing of invoices

Weekly/Monthly printing and mailing of membership letters

Entering New Member applications into database

Engage with prospective members from website inquiries

A/R Phone call, and follow-up on payments


Assist Event & Sponsorship Department with:

Requests for proposals

Promotion of sponsorship opportunities

Update/Maintain event information on website calendar

Communicating with vendors

Set-up and breakdown at Chamber events


Preferred Qualifications and Requirements

High School diploma or equivalent is required

Experience with a membership organization a plus, but not required

Experience in administrative or office support role

Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

Experience with MailChimp or Constant Contact a plus but not required

Strong organizational skills and attention to detail

Excellent written and verbal communication skills

Ability to lift and carry event materials (up to 25 lbs.) and assist with event setup and breakdown

Flexible schedule with early morning, and evening events monthly

Team-oriented, positive attitude, and willingness to take initiative

Requires ability to travel locally
