The Administrative Assistant provides critical support to the Director of Education while ensuring smooth operations of the AIM Day Services and Youth Education programs. This position involves diverse tasks that range from managing student enrollment and financial tracking to providing key support in communications and event coordination.

What you'll do:

Administrative Support:

Enrollment and Records Management:
  • Oversee the enrollment process for education programs, including communication with families, conducting tours, and managing all associated paperwork and student files.
  • Ensure all student accounts are properly set up, including tracking payments and updating files.
  • Maintain compliance with relevant governing agencies, including ODJFS, CACFP, and SFSP, ensuring that all required records are up-to-date and accurate.
  • Keep track of deadlines for paperwork submissions and updates.
Budget Tracking and Financial Support:
  • Monitor and track program expenses, reconcile credit card reports, and maintain accurate financial records.
  • Assist with financial documentation, ensuring all records are timely and accurate.
  • Help with ordering supplies for education programs.
  • Collaborate with the Vineyard Columbus Finance Team to track student absences, billing, and subsidies.
  • Ensure that all reports required for funding and subsidies are compiled accurately and on time.
Communication:
  • Act as the main point of contact for communication systems, ensuring all messages are responded to promptly and shared efficiently.
  • Handle phone calls, emails, and other inquiries regarding VCC Education Programs in a timely manner.
What you bring:

Education and Certifications:
  • High School diploma or GED; Associate's degree in Business Administration, Office Management, or related field preferred
  • Proficiency in Microsoft Office Suite
  • Familiarity with ODJFS licensing requirements and enrollment processes is a plus
Experience:
  • Minimum of 2 years of administration experience, preferably in an educational or nonprofit setting
  • Experience in budget tracking, financial reporting, and accurate record management
