Role Overview (Scope of Role)

Reporting to the CIO, the Administrative Assistant - IT will provide comprehensive administrative support to senior leaders within our Finance and IT departments, based in Wayne, PA. This role plays a critical part in ensuring the smooth and efficient day-to-day operations of leadership, with responsibilities spanning calendar and travel management, expense processing, vendor setup, and purchase order (PO) creation. The ideal candidate is detail-oriented, professional, and capable of managing multiple priorities in a dynamic environment.

Responsibilities

Administrative Support

Manage complex calendars for senior Finance and IT executives, including scheduling meetings, resolving conflicts, and prioritizing events.
Coordinate meetings and events with internal teams and external partners, including booking rooms and setting up virtual calls.
Arrange domestic and international travel, including flights, accommodation, and ground transportation.
Maintain and update detailed travel itineraries to ensure leaders are fully informed of all logistics.
Prepare and submit expense reports (T&E) and ensure timely processing and reimbursement.
Maintain and manage department-wide distribution lists and assist with department communications.
Organize logistics for offsite meetings, events, or team dinners, including securing reservations and coordinating onsite needs.
Send and receive confidential documents and correspondence as needed.
Provide general support for on-site, virtual, and off-site meetings.
Assist with various administrative tasks, special projects, and other duties as assigned.

Creating POs/Vendors
Work with Finance and IT teams to create POs in the ECC and S/4 systems
If it is necessary to create a new vendor to enable the PO creation, enter the necessary information to have a vendor setup in ECC and/or S/4
Perform necessary follow up on open POs, for instance, working with leaders to increase authorized amounts as requested.
Partner with Finance and IT teams to initiate Purchase Requisitions and manage Purchase Orders within SAP ECC and S/4HANA systems.
Facilitate the setup of new vendors, including data entry and follow-up within the SAP ECC and S/4HANA platforms.
Serve as interim support, facilitating communication between vendors and Accounts Payable and Purchasing teams.
Monitor open Purchase Orders, follow up on pending approvals, coordinate necessary adjustments (e.g., funding increases), and ensure timely closure of finalized POs

Qualifications
    High school diploma or GED required. Associates or Bachelors degree is helpful, but not required.
  • 3+ years of experience in an administrative or executive assistant role supporting senior leadership.
  • Strong organizational and time management skills with the ability to handle multiple tasks and deadlines.
  • Exceptional attention to detail and proactive problem-solving abilities.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint); experience with SAP preferred but willing to train.
  • Ability to maintain discretion and handle sensitive and confidential information.
  • Excellent communication and interpersonal skills.
  • Comfortable working independently and collaboratively in a dynamic, deadline-driven environment.
