Position Summary

To perform a variety of administrative duties for physician(s) through extensive patient contact.

Essential Duties and Responsibilities include the following. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.

CLINICAL
  • Manage patient phone calls and messages related to visits, referrals, and post- operative surgical issues, especially while team is in surgery
  • Schedule appointment request from general providers through Epic from the following baskets pt schedule request, result notes, pt advice request, staff message and referral message
  • Create and send post- surgery follow up letters and pictures to referring providers
  • Manage patient and referral emails and tasks within same business day when possible, and within 24 hours at minimum.
  • Manage and coordinate multi-disciplinary team appointments with other physicians
  • Manage and coordinate complex patient radiologic studies
  • Gather information from referring physician(s) if needed
  • Contact primary care physician and request necessary referrals for testing and procedures
  • Arrange and coordinate patients' procedures and treatments
  • Pre-certify / Initiate pre-certification request for surgical procedures/treatments, and medication
  • Mail out all clinical correspondence for physician(s)
  • Manage providers administrative calendar
  • Other miscellaneous duties (medical records requests, etc.)
BILLING
  • Gather demographics on patients for billing
  • Inform patient of their financial responsibility (i.e. copay, deductible, etc.)
  • File all patient information.
ADMINISTRATIVE
  • Sort fax correspondence and mail
  • Able to identify insurance information and process verification via eligibility
  • Proficiency in all aspects of universal scheduling, including making, canceling, and rescheduling appointments based on department guidelines
  • Displays in depth knowledge of all provider specialties within dermatology
  • Provides patients instructions verbally or in writing when necessary for patient to prepare for appointment
  • Ability to review orders thoroughly and accurately to determine the needs of patients
  • Ability to perform a satisfactory level in listening skills and problem analysis
  • Works collaboratively with staff across service lines
  • Demonstrates an awareness and sensitivity towards patients/family rights
  • Complies with department standards/guidelines
  • Prepares and mails appointment notices and patient information, as required
  • Assist in answering inquiries regarding departmental services and provides information regarding procedures, rules and regulations pertaining to assigned clinical area
  • Other duties as assigned

Education

High school graduate or equivalent combination of training and experience is necessary; knowledge of medical terminology.

Experience

3 years of secretarial experience in a healthcare environment. Experience working with patient records, billing and scheduling in a clinical setting is needed for this position. Typing skill of 50-60WPM is necessary.

Ability to input data into the computer, and analyze data as requested. Must be able to communicate providing verbal feedback in a professional manner. Must be able to follow instructions. Must be mentally adaptable and flexible in dealing with a variety of people. Must be able to deal with a variety of emotions and frustrations. Emotional stability and personal maturity are important attributes in this position. Must be able to handle conflict.
