Position Information:
BreakForth Solutions is seeking an administrative assistant to join the executive administrative team supporting one of our federal customer's Deputy Associate Administrators (DAA). The candidate should have experience supporting senior executives and performing administrative tasks and projects for a senior executive audience. Experience with Federal agency executives is a plus. This candidate must have the ability to be on site in Washington, D.C. as needed (expectation is 3-4 days/week).
Essential Functions:
Executive Support: Provide comprehensive administrative support to senior leadership, including calendar management, document management, meeting coordination, and handling correspondence.
Project Coordination: Assist in coordinating projects and initiatives led by senior leadership, tracking project statuses, deadlines, and milestones, and ensuring timely follow-ups and updates.
Task Management: Track the status of tasks assigned to senior executives, prioritize action items, and provide appropriate follow-ups to ensure completion within deadlines.
Administrative Tasks: Perform various administrative tasks and projects tailored to the needs of a senior executive audience, such as drafting correspondence, preparing presentations, and organizing documents.
Communication: Serve as a point of contact for internal and external stakeholders, facilitating communication between the DAA's office and other departments, agencies, and partners.
Confidentiality: Handle sensitive and confidential information with discretion and professionalism, ensuring compliance with relevant privacy and security policies.
Qualifications
- Experience providing administrative support to senior executions within a Federal agency
- Working knowledge of the government processes and familiarity with federal agency operations
- Knowledge of administrative support and use of the Microsoft Office suite (Word, Excel, PowerPoint, Outlook) to manage administrative tasks and projects
- Proven ability to coordinate projects, track tasks, and provide follow-ups to ensure timely completion.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize effectively in a fast-paced environment.
- A high level of professionalism and communication skills
Education/Skills/Experience Requirements:
- Minimum of a Bachelor's degree in Business Administration, Public Administration or a related field
- Minimum of 5 years of experience as an administrative analyst
- Active public trust clearance or the ability to obtain a public trust clearance
- Experience developing and maintaining deliverable trackers
- Experience working with staff writing SOPs
- Experience in managing office print production
- Experience in document control
