Maintenance Administrative Assistant Reports to: Maintenance DirectorClassification: Support Staff
FLSA Status: Non-Exempt
Terms of Employment: 40 hours per week.
Evaluation: Performance of this job will be evaluated in accordance with provisions of the Board's policy on Evaluation of Support Personnel.
Compensation: Starting $16.31/hour
JOB SUMMARY:
To maintain the maintenance/custodial/grounds/safety department office, ensuring the efficient operation of the school's educational and administrative office and project a positive image on the school community.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Maintains confidentiality of office.
- Ability to compose letters and other documents from verbal dictation.
- Classifies, sorts, and files correspondence, mail and other related data.
- Converts source documents into computer-acceptable formats using Microsoft Office especially EXCEL.
- Duplicates, copies, and prints school system forms
- Updates and maintains student, staff and building emergency information.
- Maintains accurate and complete files.
- Process weekly duty checklists
- Monitors and maintains staff attendance records.
- Work with Central Office to post job openings and prescreen substitute applicants
- Answer phones, takes and dispatches messages, and responds appropriately to requests for information.
- Greets all visitors courteously, determines their needs, checks appointments and directs or escorts them to the Maintenance Director.
- Work with Maintenance Director and Central Office Personnel to handle bidding processes.
- Monitors and assists in the maintenance of office equipment.
- Deliver and retrieve inter-office mail at CO
- Coordinate event set ups.
- Contact and coordinate substitute custodians
- Other related duties as assigned.
SUPERVISORY RESPONSIBILITIES:
This position does not require supervisory responsibilities.
QUALIFICATION REQUIREMENTS:

EDUCATION AND/OR EXPERIENCE:
- High school diploma or equivalency certificate.
- Prior experience/training with computer operations and software programs.
- Preference will be given to candidates with prior experience in a school setting.
COMMUNICATION SKILLS:
- Ability to communicate both verbally and in writing, and interact effectively with all aspects of the school community is required.
- Ability to solve conflicts, maintain confidentiality and remain open to various ideas and viewpoints.
MATHEMATICAL SKILLS:
- Ability to perform basic mathematical calculations using whole numbers, fractions, decimals, and percentages.
- Ability to perform mathematical calculations to balance assigned budget items, invoices, bills, purchase orders and other related items.
REASONING ABILITY:
- Ability to prioritize and meet deadlines while complying with established policies and procedures of the building and district.
- Identifies and resolve problems in a timely manner, gathers and analyzes information skillfully; uses reason even when dealing with emotional topics.
- Ability to concentrate, think, read and learn is necessary to perform the essential job duties.
OTHER SKILLS AND ABILITIES:
- Demonstrate organizational ability and attention to detail.
- Ability to provide assistance to the school community as necessary.
- Ability to work independently.
- Excellent human relation skills.
- Knowledge of office equipment (computers, copiers, fax machine, and related items).
PHYSICAL DEMANDS:
While performing the duties of this job, the employee must regularly sit, talk, listen, and respond. While performing the duties of this job, the employee is regularly required to sit; use repetitive wrist, hand and/or finger movement; reach with hands and arms and talk or hear. The employee is frequently required to stand and walk. The employee is occasionally required to stoop, kneel, crouch, or crawl. Specific vision abilities required by this job include close vision, distance vision, precise hand-eye coordination and the ability to identify and distinguish colors. Occasionally, the employee will lift up to 25 pounds or more, such as, to lift files, papers and equipment.

WORK ENVIRONMENT:
The work environment characteristics described here are representative of those an employee encounters while performing the essential duties of this job. The noise level in the work environment is usually at a moderate level with frequent interruptions. The employee continuously interacts with staff and the public.
